We are seeking a detail-oriented and proactive Administrative Assistant to support our attorneys and legal operations. This role is ideal for someone who thrives in a structured, fast-paced legal environment and enjoys being the organizational backbone of the firm.
Who You Are: You are a dependable professional with strong organizational skills and a proactive mindset. You understand the importance of confidentiality, accuracy, and timeliness in a legal setting. You’re comfortable juggling multiple tasks and take pride in keeping the office running smoothly.
Responsibilities
- Prepare and forward letters to adjusters, clients, and insureds (e.g., mediation, trial, court dates, depositions)
- Prepare, serve, and calendar supplemental discovery
- Download, organize, and chart medical records and subpoenaed documents (SDTs)
- Contact record vendors (e.g., ABI, COMPEX) for updates and missing records/films
- Handle requests for approval of films and quotes
- Download links and save documents to case files
- Calendar due dates for discovery, depositions, and other litigation milestones
- Assist with expert retention: Draft retention letters
- Forward records and materials
- Prepare expert files (3 days before deposition) and calendar deadlines
- Draft Case Management Conference (CMC) statements for attorney review
- Assist with trial preparation including exhibits, notebooks, and general support
- Prepare and serve initial discovery and deposition notices
What We’re Looking For
- 1+ years of administrative experience, preferably in a legal or professional services setting
- Strong organizational and time management skills
- Proficiency in Microsoft Office Suite (especially Outlook and Excel)
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information
- Familiarity with legal terminology and litigation procedures is a plus
