Overview
The Receptionist is responsible for greeting customers with a friendly demeanor, providing a welcoming first impression for our dealership. Serves as the front-line contact to address customer inquiries, manage telephone switchboard and routing, and perform administrative duties to support dealership operations.
Responsibilities
- Answer incoming calls, take complete messages, and email them to the appropriate person.
- Maintain an accurate log of tags and gas keys in an Excel spreadsheet; ensure fuel keys are locked when the desk is unattended.
- Prepare Trade Pack Envelopes and Deal Jackets for managers.
- Monitor copy paper levels, reorder as needed (do not wait until stock is exhausted).
- Keep showroom and receptionist desk orderly; shred documents containing customer information to maintain compliance.
- Sanitize high-touch areas (door handles, chairs, credit card machine) during shifts; order supplies as needed.
- Complete closing checklist: confirm messages are sent, reconcile logs with the Excel records, and secure customer information.
- Provide administrative backup to various dealership departments as needed and assist with problem resolution.
- Route inquiries to the appropriate department and serve as a courteous, helpful point of contact for customers.
Qualifications
- Working knowledge of the automotive industry is preferred.
- Strong administrative and organizational skills with prior telephony/switchboard experience.
- Exceptional interpersonal and communication skills.
- Ability to handle multiple tasks with interruptions and adhere to company policies and safety standards.
Physical Demands
- Regularly sit, stand, and walk; lift and carry objects as part of routine tasks (up to 25 lbs).
- Reach, grasp, and manipulate objects; operate office equipment and perform fine motor tasks.
- Communicate effectively with customers and staff; normal or corrected vision required.
Environmental Conditions
- Exposure to moving mechanical parts, non-climate controlled conditions, and variable noise levels.
- Work may involve wet or humid conditions and exposure to dust or fumes as applicable to the showroom environment.
