City Way Animal Clinics - Mass Avenue has an opportunity for a Veterinary Receptionist to join our team.

City Way Animal Clinics is a group of small veterinary practices in Indianapolis dedicated to exemplary veterinary medicine and patient care, healthy lifestyles, client education, and employee well being, while maintaining honesty, integrity, fair pricing, and community involvement. We currently have four animal clinics in Fall Creek Place, Mass Ave, Fountain Square, and Irvington, plus Furr: Pet Spa and Wellness Clinic.

Location: 625 N East Street, Indianapolis, Indiana 46202

About Us: Clinic operates as general practice Monday-Saturday with urgent care hours on Saturdays and Sundays. Weekends availability required. Customer service experience required. The clinic has a vibrant atmosphere and is located in the heart of downtown Indianapolis.

Shift Details: This is a full time position (30+ hours/week) working a four day work week and rotating Saturdays are required.

Pay Range: $16.00 - $19.00/hour (based on experience)

Job Summary

The Receptionist is the first and last contact that a client will have with the hospital and is key to creating first and lasting impressions. The Receptionist must have exceptional client service and communication skills, computer literacy, ability to handle payment and financial issues, ability to multi-task, a friendly attitude and confidence to deal with stressful situations. The Receptionist will support veterinarians, technicians, veterinary assistants, groomers and kennel staff in daily patient and client care.

Responsibilities

  • Maintain and uphold the Core Values and Mission Statement of MPH.
  • Greet clients and pets by name with a positive, solution-oriented attitude.
  • Answer phones promptly and professionally using a multi-line phone system; answer inquiries about basic animal care, routine procedures, veterinary services and products, and provide knowledgeable advice about wellness, prevention, and diseases.
  • Screen and route calls to appropriate staff; take and deliver messages promptly; pull medical records as needed.
  • Schedule appointments and surgeries according to hospital guidelines and make confirmation calls.
  • Note details of client conversations in medical records with date, time, key points, and required information.
  • Enter accurate charges; explain invoices and echo doctors’ recommendations at checkout.
  • Collect payment, process cards, and verify IDs for checks.
  • Verify eligibility of clients with charge accounts.
  • Check and update medical and computer records for accurate client information; scan new documents into medical records.
  • Fill prescription refill forms and provide routine administration instructions to clients.
  • Advise clients on flea/tick prevention, heartworm preventatives, pre-anesthetic testing, pain management, shampoos, home dental products, and other retail items.

Qualifications

  • Demonstrated commitment to MPH core values.
  • Computer knowledge including keyboarding and use of email/internet.
  • Working knowledge of veterinary terminology; ability to pronounce, spell, and know meanings.
  • Excellent spelling and grammar.
  • Ability to handle varied and sometimes difficult conditions; exposure to highly emotional situations.
  • Ability to show tact and respect with clients and team members, even when busy.
  • Calm, professional demeanor with clients and staff in stressful situations.
  • Genuine liking for animals and their owners and for working in animal care.
