Overview

Executive Assistant – Bedford, NY. Marquee Brands is seeking an exceptionally organized, detail-oriented, and resourceful Executive Assistant to join the team. The Executive Assistant will serve as a strategic administrative partner to a Founder and Chief Creative Officer / Celebrity, ensuring the smooth operation of daily activities through calendar management, communications coordination, travel planning, and administrative support. This fast-paced, high-touch role requires discretion, impeccable judgment, and the ability to anticipate needs and manage complex logistics across both personal and professional spheres.

Marquee Brands owns and manages a portfolio of established global brands across consumer products and channels from luxury goods to sports and active apparel. We are focused on driving organic growth through natural brand extensions, impactful marketing, and direct consumer engagement.

Responsibilities

  • Calendar & Schedule Management: strategically manage and coordinate an extensive, ever-evolving calendar including business meetings, photo shoots, speaking engagements, podcasts, editorial and video shoots, Board meetings, corporate functions, and personal commitments and medical appointments. Proactively identify and resolve scheduling conflicts to optimize productivity. Maintain precision and discretion in handling confidential engagements and high-profile appearances.
  • Travel Coordination: organize and manage complex domestic and international travel itineraries, including private charter flights, hotel accommodations, ground transportation, airport greeter services, Global Entry/TSA PreCheck, and passport visa processing. Provide 24-hour logistical support during travel and manage last-minute adjustments as needed.
  • Communications & Correspondence: serve as primary point of contact with high-profile individuals including celebrities, publicists, agents, corporate executives, and media professionals. Draft, review, and manage written correspondence—reflecting the voice, tone, and brand of the principal.
  • Production & Appearance Support: manage styling and grooming bookings for appearances, photo shoots, and video productions. Liaise with agents, production teams, stylists, glam teams, and publicists to manage communications and logistics; prepare run-of-show/call sheets.
  • Property & Staff Oversight: act as liaison to household staff at two residences; ensure timely communication and smooth coordination across homes. Oversee rotating driver schedules and communications.
  • Administrative Excellence: streamline and manage extensive contact databases including VIP, holiday, and mailing lists. Maintain meticulous records and digital files related to professional and personal matters. Provide polished, confident representation of the principal at all times.

Qualifications

  • 10+ years of experience supporting C-level executives or high-net-worth individuals in a similar role.
  • Proven ability to thrive in fast-paced, high-pressure environments with discretion and grace.
  • Highly proficient in Google Workspace, Microsoft Office Suite, and digital calendar platforms.
  • Strong written and verbal communication skills with high attention to detail.
  • Willingness and ability to be on call as needed and manage requests at short notice.
