Position Summary

We are seeking a highly organized, dependable, and trustworthy Executive Assistant to provide comprehensive administrative support to the principals of the family office. This role requires exceptional attention to detail, the ability to handle confidential information with utmost discretion, and the flexibility to manage both business and other matters for high-level executives.

Responsibilities

  • Administrative Support: Manage complex calendars for multiple executive team members; arrange comprehensive travel itineraries, including air travel, accommodations, and ground transportation; draft and edit correspondence, reports, and presentations; maintain filing systems and ensure proper document management protocols.
  • Office Management Operations: Coordinate with service providers; manage vendor relationships as needed; oversee property management communications; oversee daily office operations and maintain office policies and procedures; manage office supplies, equipment, and inventory procurement; manage visitor access protocols and ensure compliance with building security and safety requirements.
  • Personal Assistance: Handle personal appointments and lifestyle management; coordinate family events, celebrations, and social engagements; manage personal errands and special projects as requested; liaise with household staff and service providers; assist with education-related matters for family members.
  • Project Management: Lead special projects from conception to completion; research and present options for travel and major purchases.

Required Qualifications

Experience & Education

  • Bachelor's degree preferred
  • Minimum 5-7 years of executive assistant experience, preferably supporting C-level executives
  • Experience in wealth management, private banking, or family office environment preferred
  • Demonstrated expertise managing multiple executives, complex calendars, and travel arrangements
  • Advanced proficiency in Google Suite
  • Experience with calendar management systems and travel booking platforms
  • Strong research and analytical capabilities
  • Flexibility on moving projects forward, including light work on nights and weekends as needed
  • Exceptional organizational skills and attention to detail, with the ability to prioritize multiple tasks and work under tight deadlines
  • Outstanding written and verbal communication skills
  • High level of emotional intelligence and interpersonal skills
  • Proactive problem-solving approach with sound judgment
  • Demonstrates a high level of trustworthiness, discretion, and confidentiality
