NEXGEN Asset Management is the industry-leading asset management software that combines a robust computer maintenance management system with advanced asset management planning tools.

We’re seeking a proactive, organized, and detail-oriented Executive Operations Assistant to support our President / CEO and leadership team. This role is central to keeping our operations running smoothly. The ideal candidate thrives in a dynamic environment, enjoys wearing multiple hats, and is eager to grow alongside our company.

What You’ll Do

  • Office & Culture: Oversee office management (supplies, logistics) and organize team-building activities to foster company culture.
  • Operations & Administration: Own various administrative tasks including timesheet management, payroll reporting, invoicing, expense reports, and quarterly tax filings.
  • HR & Onboarding: Coordinate onboarding logistics to ensure a seamless new-hire experience.
  • Executive & Leadership Support: Assist the CEO with administrative duties, acting as the primary liaison on behalf of the CEO with internal and external stakeholders.
  • Compliance & Security: Maintain monthly compliance and security tracking / reporting.
  • Cross-Team Coordination: Facilitate communication across departments to ensure smooth workflows and alignment on priorities.
  • Business Development Support: Assist with sales meeting preparation; prepare presentation decks and configure software demo.

Qualifications & Requirements

  • Bachelor’s degree in Business Administration, Communications, or related field.
  • 4+ years of professional experience.
  • Experience as an Executive Assistant is a plus.
  • SaaS / software industry experience a plus.
  • Highly organized with excellent attention to detail and time management skills.
  • Strong communicator with exceptional interpersonal and writing skills.
  • Proactive, resourceful, and able to anticipate needs before they arise.
  • Comfortable balancing multiple priorities in a fast-paced environment.
  • Tech-savvy; proficient with Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint) and comfortable with web and mobile applications.
  • Location: Sacramento, CA (in-office 4 days per week, 1 remote day per week)
  • Compensation: $80,000 - $90,000 dependent upon experience
