Summary

The Legal Secretary provides high-level administrative and secretarial support to attorneys, ensuring efficient management of litigation matters from inception through resolution. Responsibilities include drafting, revising, and finalizing complex legal documents, handling e-filings in state and federal courts, maintaining case calendars, and preparing materials for hearings, trials, and arbitrations. This role requires advanced organizational skills, strong knowledge of litigation procedures, and the ability to handle multiple priorities in a fast-paced environment.

Key Responsibilities

  • Draft, revise, proofread, and format legal documents, correspondence, and memoranda
  • Manage e-filings in state and federal courts and with administrative agencies
  • Assemble and prepare documents and exhibits for court filings, hearings, depositions, mediations, and arbitrations
  • Create and update Tables of Contents (TOC) and Tables of Authorities (TOA)
  • Maintain and track attorney calendars, deadlines, and appointments
  • Coordinate new client/matter intake processes in line with firm procedures
  • Arrange attorney travel (air, hotel, and ground transportation)
  • Support preparation of marketing materials, including pitch folders and presentations
  • Provide overflow/backup support for attorneys and staff as needed
  • Maintain strict confidentiality of Firm, client, and personnel information

Qualifications

  • High School Diploma or equivalent required
  • Minimum of 5 years of litigation legal secretary experience
  • Strong writing, editing, and proofreading skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); iManage experience preferred
  • Excellent organizational and time management skills with ability to handle multiple attorneys’ workloads
  • Strong professional communication skills (verbal, written, and telephone)
  • Ability to operate standard office equipment, including transcription devices, fax, and copiers

Physical Requirements

  • Prolonged sitting; frequent walking/standing
  • Clear verbal communication in person and by phone
  • Occasional bending, kneeling, and climbing as required
  • Fine motor coordination for typing and office equipment
  • Ability to lift up to 10 lbs
  • Willingness to work overtime beyond 40 hours per week when needed
