Overview

Under the direction of one or more central office administrator(s), the Administrative Secretary provides secretarial support for a variety of functions relevant to the assignment. This position requires a high degree of secretarial skill and experience.

Essential Functions

  • Reporting directly to a central office administrator, the Administrative Secretary performs duties that require judgment and prioritization on behalf of the office.
  • Maintains proficiency in the use of technology to meet administrative needs.
  • Maintains property accountability.
  • Maintains financial records, grants, and payroll records/reports.
  • Composes routine correspondence.
  • Orders and receives supplies and proofs invoices.
  • Prepares, types, and proofs materials.
  • Effectively uses automated systems.
  • Maintains hard copy and electronic filing systems for data.
  • Answers telephones, takes messages, greets visitors, makes appointments, and provides information relevant to departmental functions.
  • Distributes mail and supplies.
  • Prepares materials for meetings, conferences, and workshops.
  • Operates various office machines and trains other personnel.
  • Assists in scheduling use of facilities.
  • Performs other functions consistent with the scope and nature of the position.

Required Qualifications

  • High school diploma or equivalent (G.E.D.).
  • Five (5) years of successful secretarial experience.
  • Demonstrated proficiency in the use of office technology to meet administrative needs.
  • Demonstrated ability to effectively use word processing, database, spreadsheet, and email software.
  • Demonstrated ability to maintain confidentiality.
  • Demonstrated ability to communicate clearly and concisely in oral and written form.
  • Demonstrated ability to work under pressure and maintain flexibility.
  • Demonstrated strong human relations skills.
  • Demonstrated proficiency in business math.
  • Regular and predictable attendance.
  • Capable of performing the essential functions of the position with or without reasonable accommodations.

Preferred Qualifications

  • Bilingual skills.
  • Working knowledge of the general organization and functions of the major units of FCPS.
  • Demonstrated proficiency in the creation and use of Google Docs and Excel forms.
  • Demonstrated ability to manage the office and functions with or without daily direct supervision.
  • Demonstrated ability to anticipate work demands and proactively recommend process improvements.
  • Demonstrated evidence of continuous professional growth.
  • Demonstrated ability to manage the expectations of internal and external customers.
  • Familiarity with FCPS policies, goals and programs.

Compensation and Benefits

  • Salary: Support Salary Scale Grade S08, $23.85 per hour; starting.
  • Work year: 12-month position (244 days/year), 7 hours/day; daily work hours TBD.
  • Employment type: Full-time.
  • Overtime eligibility: Non-exempt under the Fair Labor Standards Act; actual salary placement is in accordance with FCPS salary procedures.
