Overview

Sr Office Assistant (SOA) in the Infusion Center Department; assists nurses and patient service specialists with transporting/lifting patients, filing, secretarial work, registration and scheduling of patients, and other general duties as requested. Serves as the order liaison for new orders in the Infusion Center. Responsibilities include insurance verification, follow up with physician offices for medical necessity verification, obtaining prior authorizations, and referring patients to medical social workers and financial counselors as needed. Identifies offices needing education on the ordering process and informs office managers accordingly. Acts as the front office leader in the infusion center, covering sick and vacation time for the full-time patient service specialist or other SOAs, and trains new staff. Serves as the building and safety officer, monitoring quality initiatives such as hand hygiene and temperature logs, and following up on maintenance or biomed issues.

Responsibilities

  • Performs patient registration responsibilities, including insurance verification, pre-certification, and obtaining necessary signatures and authorizations for billing and release of medical information according to established procedures.
  • Provides excellent customer service to patients and referr­ing physician offices in person and on the phone; communicates wait times and handles scheduling/registration to keep patient flow smooth.
  • Performs office operations including filing, typing, clerical duties, and obtaining/transferring patient information data.
  • Educates and trains physician offices and patient service staff on scheduling/registration and insurance issues related to orders sent to the department.
  • Follows through on rejected coding issues and resubmits documentation to HIS.
  • Serves as safety point person for the infusion center, monitoring hand hygiene and temperature logs and coordinating with maintenance or biomed as needed.
  • Operates a computer using MS Office (Word, Excel) and vital systems for scheduling, registration, and insurance verification; maintains stock for the Infusion Center.
  • Performs other duties as assigned.

Qualifications

  • Certification: BLS – Basic Life Support.
  • Education: High School Diploma or GED; completion of an accredited course in medical terminology or equivalent knowledge (minimum one year in a medical center office setting).
  • Experience: Minimum of six months in a health care facility; oncology-related office setting preferred.
  • Skills: General clerical skills; ability to operate standard office equipment; proficiency in MS Office (Word, Excel); effective in-person and telephone communication; competency in Microsoft Windows.

  • Physical/Mental Requirements and Working Conditions: occasional lifting 0-10 lbs; exposure to stressful situations; ability to wear PPE; ability to move about the facility; adequate vision and hearing; ability to sit/stand/walk for long periods; exposure to blood-borne pathogens following MUH TB testing policy; multitasking and regular attendance required; dexterity for frequent handling and reaching.
  • Experience in an oncology-related office setting preferred.
