Position Summary
We are seeking a detail-oriented HR Coordinator to support our human resources operations with a focus on employee relations, workplace documentation, and compliance. The successful candidate will play a critical role in maintaining accurate employee records, documenting workplace incidents, and assisting with employee relations matters to ensure a positive and compliant work environment.
Key Responsibilities
Employee Relations & Documentation
- Document workplace incidents, complaints, and grievances in accordance with company policies and legal requirements
- Maintain comprehensive and confidential employee personnel files, both physical and electronic
- Assist HR management with employee relations matters including policy violations, disciplinary actions, and conflict resolution
- Track and document progressive discipline processes and corrective action plans
- Prepare incident reports and maintain detailed records of investigations
- Support the grievance process by scheduling meetings, taking notes, and maintaining case files
Administrative Support
- Coordinate and schedule employee relations meetings, interviews, and disciplinary hearings
- Assist with employee onboarding and offboarding processes
- Update and maintain HR databases and tracking systems
- Prepare correspondence and documentation for employee communications
- Support HR projects and initiatives as assigned
Compliance & Record Keeping
- Ensure all employee documentation meets federal, state, and local compliance requirements
- Maintain confidentiality and security of sensitive employee information
- Assist with internal and external audits by providing accurate documentation
- Support Equal Employment Opportunity (EEO) reporting and recordkeeping
- Help maintain compliance with FMLA, ADA, and other employment law requirements
General HR Support
- Provide administrative support to the HR team
- Assist with recruitment coordination and candidate scheduling
- Support employee communication initiatives
- Help with HR policy updates and distribution
- Participate in special projects and cross-functional teams as needed
Required Qualifications
- Bachelor\'s degree in Human Resources, Business Administration, or related field preferred
- 1-2 years of HR or administrative experience preferred
- Strong written and verbal communication skills
- Excellent attention to detail and organizational abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to handle confidential information with discretion and professionalism
- Knowledge of employment laws and HR best practices preferred
- Experience with HRIS systems a plus
