COURT SERVICES CLERK

Department: Superior Court - Misdemeanor and Traffic FLSA Status: Non-exempt Classification/Level: B2 Date: 5/2023 Under the direction of the Supervisor of Misdemeanor and Traffic Division, the Court Services Clerk is responsible for assisting defendants, the public, attorneys, other governmental agencies and the media regarding court records, calendars, procedures, bonds, active warrants, fines/costs, and license suspension/reinstatement. The Court Services Clerk performs all these duties with a teamwork approach and a positive attitude. This position is covered under the Superior Court Employee Handbook. This is an employee-at-will position.

ESSENTIAL FUNCTIONS:

  • Responsible for entering new arrests, traffic tickets, and warrants into Odyssey Case Management System.
  • Issues warrants and letter notices; processes OWI paperwork and documents to the Bureau of Motor Vehicles (BMV); and posts surety bonds and release orders.
  • Works the defendant/attorney windows and addresses a wide variety of case questions relating to court dates, filings, procedures and processes.
  • Responsible for pulling files and for ensuring court files are in the proper courtrooms and are returned upon completion.
  • Checks files returning from court to ensure correct entries were made, paying strict attention to case details.
  • Answers a high volume of telephone inquiries related to misdemeanor traffic offenses and violations, while maintaining a professional and courteous manner.
  • Follows strict adherence to Indiana code and local rules changes while maintaining case filings and updates.
  • Performs all other duties as assigned, including overtime as required.

REQUIREMENTS:

  • High School Diploma or GED
  • Strong attention to detail
  • Ability to work in a stressful team environment
  • Ability to be cross-trained in multiple court processes
  • Knowledge of statutory requirements, legal terminology and operations of Allen Superior Court
  • Strong time management skills with the ability to establish work priorities, while maintaining concentration and deadlines
  • Knowledge of Odyssey case management system
  • Strong verbal and written communication skills in order to effectively communicate with defendants, attorneys, the general public, law enforcement agencies and the general public
  • Ability to use computer, scanner, copier, fax, multi-line telephones, printers and other job related equipment
  • Strong computer skills with the ability to use Microsoft Office and other job related software
  • Ability to type accurately at least 40 WPM
  • Ability to maintain strict confidentiality

DIFFICULTY OF WORK:

The Court Services Clerk performs work that is moderately complex when entering new arrests, traffic tickets, and warrants into Odyssey Case Management System. Understanding of statutory requirements, legal terminology and Allen Superior Court operations is required in order to accurately answer questions concerning misdemeanor traffic offenses and violations.

RESPONSIBILITY:

The Court Services Clerk follows direct and detailed instruction when processing OWI paperwork and documents and posting surety bonds and release orders. Errors are not immediately apparent but are revealed through adverse effects on subsequent operations.

PERSONAL WORK RELATIONSHIPS:

The Court Services Clerk maintains frequent contact with defendants, attorneys, the general public, law enforcement agencies and the general public when working the defendant/attorney windows and answering Misdemeanor and Traffic Division phone calls.

WORKING CONDITIONS:

The Court Services Clerk works in a clerical setting with frequent sittings and the ability to move about freely. Some bending with frequent lifting of up to twenty pounds, reaching over head, monitoring equipment, detailed inspection and proofreading is required and very frequent typing and attention to detail exists. The Court Services Clerk is sometimes exposed to loud noise.

HOURS:

Monday - Friday; 8:00 am - 4:30 pm and as needed; overtime as required
