COURT SERVICES CLERK

Department: Superior Court- Small Claims Division FLSA Status: Non-Exempt Classification/Level: B2 Date: 5/2023 Under the direction of the Small Claims Magistrates, the Receptionist checks in litigants for small claims trials, protective orders, evictions and court hearings. Responsible for directing litigants to waiting areas, verifying litigants are seen within a designated time frame, preparing court files, writing chronological case summaries, scheduling docket entries and assisting the public with protective order petitions, body attachments, and general small claims procedural questions. This is an employee-at-will position. This position is covered under the Superior Court Employee Handbook.

ESSENTIAL FUNCTIONS:

  • Checks in litigants and attorneys.
  • Responsible for answering the phones, giving directions and responding to procedural questions from office visitors.
  • Sorts Small Claims cases from Superior Court E-filing queries.
  • Prepares and reviews the daily judicial court calendar.
  • Responsible for handling protective order dismissals and informing Magistrates of petitioner names.
  • Assists the Protective Order Specialist, as necessary.
  • Responsible for calling attorneys regarding requested body attachments to inform litigants of surrenders.
  • Reviews court dates to ensure they are entered correctly by plaintiffs.
  • Responsible for assisting with scheduling and docket entries.
  • Performs all other duties as assigned, including overtime as required.

REQUIREMENTS:

  • High School Diploma or GED
  • Strong customer service skills
  • Ability to use Quest, Odyssey, protective order registry, and other court related software preferred
  • Knowledge of electronic document production and filing techniques
  • Strong organizational skills
  • Ability to work in the midst of frequent interruptions
  • Ability to maintain strict confidentiality
  • Ability to use scanner, copier, fax, multi-line telephone and other job related equipment
  • Strong computer skills with the ability to use Microsoft Office and other job related software

DIFFICULTY OF WORK:

The Receptionist routinely answers phones and assists office visitors. Knowledge of prescribed procedures and routines is required when checking in litigants and attorneys.

RESPONSIBILITY:

The Receptionist follows standardized practices and procedures when sorting court files for the account calendar. Errors in work are revealed through adverse effects on subsequent operations.

PERSONAL WORK RELATIONSHIPS:

The Receptionist works with judicial staff, attorneys, Sheriff's Department, other professionals, and the general public when serving as the Receptionist for the Small Claims Division of Allen County Superior Court.

WORKING CONDITIONS:

The Receptionist works in a standard office setting with frequent sitting and the ability to move about freely. Some reaching over head, kneeling, and monitoring equipment are required. Very frequent lifting of up to forty pounds, bending, pushing/pulling, typing, and attention to detail exists.

Monday-Friday; 37.5 hours/week; Overtime as required
