Position Description Job Summary: The Administrative Assistant will provide comprehensive administrative support to the Safety Department in a dynamic construction materials environment. This role supports operations across quarries, liquid asphalt facilities, blacktop plants, and road construction projects. The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks while ensuring compliance with company safety standards and regulatory requirements.
Essential Functions: Measurement.
Maintain safety records, reports, and documentation for compliance with OSHA, MSHA, DOT, and other regulatory agencies. Protect family and friends.
Support members in nurturing the PII culture of keeping safety first and foremost in people’s minds. Transparency and Learning.
Assist with scheduling, tracking, and documenting employee safety training, certifications, and renewals. Honesty and Truth.
Support incident reporting and investigation processes by preparing forms, compiling data, and maintaining confidential files. Focused.
Track and monitor safety audits, inspections, and corrective actions. Communication.
Coordinate safety meetings, prepare agendas, take minutes, and distribute materials. Innovation.
Assist with maintaining the Safety Management System and digital platforms used for reporting and compliance Respect and engage.
Serve as a point of contact for field employees regarding safety documentation and training requirements Ownership and Caring.
Manage department correspondence, filing systems, and safety communications. Obligated.
Provide assistance in managing invoices, including creating and reviewing Safety billing. Mastery.
Prepare and distribute safety metrics, dashboards, and weekly/monthly reports for leadership. Work Life Rhythm.
Provide general administrative support including scheduling, data entry, and office coordination.
Position Requirements Requirements, Education and Experience: High school diploma or equivalent required; Associate’s degree preferred. 2+ years of administrative experience; safety, construction, or industrial background strongly preferred. Strong verbal & written English communication skills Knowledge of safety regulations (OSHA, MSHA, DOT) is a plus. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational, communication, and problem-solving skills. Ability to handle sensitive information with discretion. Comfortable working in a fast-paced environment with field and plant employees. Must have a valid driver's license. Legal right to work in the U.S.

Travel: Position requires extensive travel by personal vehicle to operations throughout the south and east territories and as needed in other areas primarily based on the needs of the business.
Work Environment/Physical Demands: This job is a hybrid between an office environment and field work. This role routinely uses standard office equipment such as computers, phones, photocopiers.
The job will require occasional visits to our quarries, asphalt plants and road construction jobs; this will require frequent walking, bending or standing as necessary, as well as driving. Use of PPE is required when visiting field locations.
