Position Summary
The Executive Assistant to the President and three other members of the senior leadership team plays a critical role in enabling the President and other senior leaders to operate at maximum efficiency by providing high-level administrative, operational, and strategic support. This role requires exceptional organizational skills, sound judgment, discretion, and a proactive approach to managing priorities and communications in a fast-paced, dynamic environment.
As a trusted partner to the senior leadership team, the Executive Assistant ensures the seamless management of day-to-day operations, serves as a liaison with internal and external stakeholders, and helps drive forward key initiatives and company priorities.
Essential Duties and Responsibilities

Executive Support
- Manage four senior leaders’ calendars, scheduling meetings, calls, and travel with precision and foresight.
- Prepare and organize materials for meetings, presentations, and events.
- Maintain confidentiality and discretion in handling sensitive company and personnel information.
- Draft and manage executive-level communications, ensuring clarity and alignment with leadership tone and goals.
Meeting & Communication Management
- Coordinate internal and external meetings, including leadership team and board meetings.
- Prepare agendas, record and distribute meeting minutes, and follow up on action items.
- Serve as a primary point of contact between the senior leadership team and internal teams, clients, partners, and stakeholders.
- Monitor and manage incoming communications, prioritizing and triaging requests.
Project and Initiative Support
- Assist the senior leaders with tracking progress on high-priority initiatives and special projects.
- Conduct research and compile data and reports to inform strategic decisions.
- Support cross-functional coordination, ensuring clarity, accountability, and alignment.
Administrative Operations
- Handle expense reporting, document organization, and executive filing systems.
- Coordinate travel itineraries and logistics, ensuring seamless execution. This includes transportation, dinner reservations, and hotel accommodations, when applicable for individuals and groups.
- Assist in the planning and execution of company events, offsites, and key executive meetings.
- Provide general support to ensure the smooth operation of the senior leadership team.
Qualifications
- 8+ years of Executive Assistant experience.
- Highly organized and detail-oriented with the ability to manage multiple priorities.
- Strong interpersonal skills and a high degree of professionalism.
- Excellent written and verbal communication skills.
- High emotional intelligence, with the ability to handle confidential information and act with discretion.
- Proactive, adaptable, and able to anticipate needs before they arise.
- Proficient in productivity tools such as Microsoft Office, Teams, Zoom, and project management platforms.
Salary Range: $85,000 - $100,000 per year dependent on experience and qualifications
