- Serve as a trusted resource for a C-suite level executive, managing a variety of administrative functions.
- Schedule and organize internal and external meetings, conference/video calls, and appointments for multiple executives; create agendas, arrange catering, and prepare and distribute meeting materials; prioritize and maintain complex calendars with little or no input from the executive.
- Manage complex and time-sensitive travel arrangements, often with minimal notice, and adapt for any last-minute conflicts.
- Oversee ongoing executive expenses, ensuring timely and accurate expense reports in line with company policies.
- Liaise with internal and external partners of executive, greeting and hosting them during in-person meetings.
- Create presentation-quality decks and communications at the direction of senior executives, including ad hoc research as needed.
- Maintain the highest standards of professionalism and discretion, especially in handling sensitive or confidential information.
- Exhibit a strong understanding of administrative responsibilities, operating proactively and with minimal direction.
- Collaborate effectively with the broader Executive Support team and assist with additional ad hoc projects as needed.
Responsibilities
- 5+ years of experience supporting senior-level executives.
- Exceptional attention to detail, organization, and execution.
- Strong time management and multitasking abilities, with an ability to prioritize tasks and adjust quickly to changing needs.
- Positive, helpful, and collaborative disposition; capable of maintaining productive relationships with all teammates.
- Proactive self-starter with the ability to work independently and anticipate the needs of executives.
- Discretion and confidentiality are essential when managing sensitive information and materials.
- Strong verbal and written communication skills with excellent telephone and email etiquette.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the aptitude and interest to learn new software and systems, as needed.
- Ability to stand, bend, kneel, lift (up to 30 pounds, as necessary), and sit for extended periods of time.
- Bachelor's degree is preferred, but not required.

The Pay Range
85,000 - 110,000 USD per year (New York)
