KORE1, a nationwide provider of staffing and recruiting solutions, has an immediate opening for an Executive Assistant in Miami, Fl. This is a 6-month contract-to-hire opportunity with strong potential for permanent placement based on performance. The position is fully onsite at our Miami headquarters.

Position Overview

We are seeking a highly organized, proactive, and experienced Executive Assistant to provide comprehensive support to our Chief Executive Officer (CEO). The ideal candidate will bring prior experience from the pharmaceutical industry, proven success in high-volume, fast-paced environments, and the ability to handle confidential information with discretion. This role requires exceptional organizational skills, adaptability, and professionalism in managing competing priorities.

Key Responsibilities

  • Provide direct administrative and operational support to the CEO, ensuring seamless execution of daily activities.
  • Manage a complex and rapidly changing calendar, scheduling meetings, travel, and conference participation with precision.
  • Act as a liaison between the CEO and internal / external stakeholders, including pharmaceutical partners, clients, and regulatory bodies.
  • Prepare, proofread, and manage correspondence, presentations, reports, and other documents, ensuring accuracy and compliance with industry standards.
  • Coordinate high-level meetings, including board meetings, leadership sessions, and client engagements, with responsibility for agendas, materials, and follow-ups.
  • Support special projects and initiatives driven by the CEO, with a strong ability to execute tasks independently and meet deadlines.
  • Monitor and track action items, ensuring commitments are met and deliverables are on time.
  • Handle confidential and sensitive information with the utmost professionalism and discretion.
  • Anticipate needs of the CEO and act proactively to remove barriers and support decision-making.
  • Contribute to improving executive office processes for efficiency and scalability as the organization continues to grow.

Qualifications

  • Bachelor's degree preferred; additional certifications in business administration or executive support are a plus.
  • 5+ years of executive assistant experience, with at least 2 years in the pharmaceutical, healthcare, or life sciences industry.
  • Proven ability to thrive in fast-paced, high-growth environments with shifting priorities.
  • Digitally fluent and eager to learn new platforms, including AI-assisted tools.
  • Exceptional written and verbal communication skills; strong attention to detail.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with project management or CRM systems a plus.
  • Demonstrated ability to manage multiple competing priorities while maintaining professionalism and composure.
  • Strong interpersonal skills with the ability to build effective relationships across all levels of the organization.
  • High degree of discretion, integrity, and judgment in handling sensitive information.
  • Compensation depends on experience but is typically 35 / hr.
