Provide direct administrative and operational support to the CEO, ensuring seamless execution of daily activities. Manage a complex and rapidly changing calendar, scheduling meetings, travel, and conference participation with precision. Act as a liaison between the CEO and internal/external stakeholders, including pharmaceutical partners, clients, and regulatory bodies. Prepare, proofread, and manage correspondence, presentations, reports, and other documents, ensuring accuracy and compliance with industry standards. Coordinate high-level meetings, including board meetings, leadership sessions, and client engagements, with responsibility for agendas, materials, and follow-ups. Support special projects and initiatives driven by the CEO, with a strong ability to execute tasks independently and meet deadlines. Monitor and track action items, ensuring commitments are met and deliverables are on time. Handle confidential and sensitive information with the utmost professionalism and discretion. Anticipate needs of the CEO and act proactively to remove barriers and support decision-making. Contribute to improving executive office processes for efficiency and scalability as the organization continues to grow. Qualifications
Bachelor's degree preferred; additional certifications in business administration or executive support are a plus. 5+ years of executive assistant experience, with at least 2 years in the pharmaceutical, healthcare, or life sciences industry. Proven ability to thrive in fast-paced, high-growth environments with shifting priorities. Digitally fluent and eager to learn new platforms, including AI-assisted tools. Exceptional written and verbal communication skills; strong attention to detail. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with project management or CRM systems a plus. Demonstrated ability to manage multiple competing priorities while maintaining professionalism and composure. Strong interpersonal skills with the ability to build effective relationships across all levels of the organization.
