Job Summary
We are seeking a highly motivated and experienced Legal Secretary to join our team. In this role, you will work under the supervision of our attorneys, providing support and ensuring they can carry out their duties. You will communicate with clients via telephone and email, draft correspondence, judicial council forms, stipulations, declarations, proposed orders, and Judgment forms. Additionally, you will assist with managing deadlines related to discovery, preparing written discovery responses, reviewing and sorting documents, and propounding discovery demands. The ideal candidate is hardworking, detail-oriented, and motivated to maintain the firm's reputation for competence and professionalism.
Responsibilities
- Provide backup reception duties when the receptionist is at lunch or otherwise unavailable
- Answer phones and greet clients and visitors, including facilitating client intake and conflict check verification
- Provide general administrative support, including preparing files for court, copying and sorting exhibits for trial, creating trial/hearing binders, etc.
- Communicate with clients and witnesses
- Use practice management software to calendar important dates, track client communication, and follow up on written file memos
- Prepare case-specific documents, including Judicial Council forms and routine pleadings (e.g., notices)
- Ensure case-related documents are well organized and accessible, including scanning and digitally saving all physical documents related to a file
- Attend client meetings, court sessions, and/or file review meetings, recording important information
Qualifications
- Previous experience as a Legal Secretary in family law is required
- Must possess a valid Class C driver's license and have access to a reliable vehicle
- Ability to maintain composure under stress and work as part of a team to meet deadlines
- Strong verbal and written communication skills, with willingness to communicate with clients professionally and in compliance with applicable laws
- Highly organized with litigation management experience
- Comfortable using Windows-based computers and word processing software
- Must be comfortable sharing an office environment with a dog
