Job Description :

Job Title: Human Resources Assistant

Job Summary

Responsible for the clerical / administration function within the HR department. Performs duties directly related to payroll, file administration, benefits, workers compensation, leaves of absence, unemployment and preparing reports associated with these functions. Counsels associates, responds to requests for information and completes the necessary HR related forms and documents. Interacts with Home Office and outside Vendors on a variety of HR related issues.

Hours: Thursday – Sunday 6:00 am – 4:30 pm

Major Areas of Responsibility

  • Leave of Absence Management / Coordination
  • Update tracker as Associates leave and return to work; communicate expected return-to-work dates with Supervisors/Managers weekly; manage LOA inquiries
  • Time and Attendance Support; update and maintain payroll system, petty cash, and create payroll adjustments
  • Transmit payroll in conjunction with Home Office; print transaction reports and reconcile
  • Audit payroll reports and make corrections as necessary; stop payment of voided checks; prepare checks for distribution
  • ADA Support; schedule check-ins with HRBPs across shifts; maintain ADA files
  • Manage I-9 Reverification process and track reverifications through Workday and Kronos; update reverification tracker
  • Send out hard and soft memos to Associates’ supervisors; filing and tracking of various HR functions
  • Temporary Shift Transfers; support recruitment and talent acquisition efforts for various roles
  • Coordinate GWA Recruitment, maintain tracker, schedule interviews, and monitor prehire and background checks
  • Inform LP of expected GWA interviews and new hires; complete physical new hire paperwork; schedule interviews for home office hourly roles
  • Assist HRBPIs in job posting process; meet with union, create ASRs and postings/seniority documentation; follow up with supervisors
  • Support Retention / Engagement efforts; reach out to terminated GWAs for exit interviews; schedule exit interviews
  • Conduct New Hire Engagement Meetings across shifts and maintain tracker
  • Complete additional tasks as needed: update HRIS with personnel files, track attendance, shift information, etc.; coordinate benefits (insurance, 401(k), leaves), counsel on benefit plans and claims; assist with new hire and benefit orientations (including bilingual associates); assist with translations; support training and orientations
  • Complete employment verifications and unemployment information; respond to wage verifications; interact with Home Office on HR administrative issues

Job Knowledge

Minimum formal education required to perform this job:

High School Diploma or equivalent work experience

Minimum job skills required to perform this job: Good organizational, communication and interpersonal skills; knowledge of basic HR functions (payroll, files and benefits); bilingual preferred; knowledge of MS Excel and MS Word preferred; knowledge of payroll systems preferred (Kronos, Workday)

Minimum experience required to perform this job: 1-2 years related experience

Specific jobs which could prepare an individual for this job: Previous experience in Human Resources and Payroll department; experience in administration in a business office environment
