Executive Assistant Our client, a dynamic investment management firm dedicated to strategic growth and excellence, is seeking an exceptional part time Executive Assistant to support a high-level Managing Director. Responsibilities Manage and optimize the executive’s complex calendar, scheduling meetings, and coordinating logistics efficiently Act as the primary point of contact for client follow-ups and communicate with external partners Log data into CRM systems and update contact profiles accurately and promptly Prepare and organize proposal documents, reports, and meeting notes, utilizing AI tools for recording and transcription Set up and manage calendar blocks, deadlines, and task follow-ups to ensure timely completion of deliverables Collaborate with the executive to streamline workflows and improve overall organizational processes Monitor emails, handle correspondence, and prioritize urgent activities to support daily operations Assist with documenting and tracking project or task statuses, and send timely follow-ups Review recorded meetings, provide summaries, and log relevant information into CRM and document systems Qualifications Proven experience supporting C-level executives or high-level leaders, preferably within finance or investment firms Strong organizational prowess with exceptional attention to detail and multitasking ability Excellent written and verbal communication skills to facilitate clear and professional correspondence Advanced proficiency in Microsoft Office Suite and CRM platforms Familiarity with AI note-taking tools or similar technologies Demonstrated reliability, punctuality, and ability to operate independently in a fast-paced environment Ability to handle confidential information with discretion and professionalism Comfortable with remote or hybrid work setups and adaptable to evolving technological tools Our Commitment to Inclusion & Belonging The Hollister Group is an equal opportunity employer.
