Executive Assistant

Our client, a dynamic investment management firm dedicated to strategic growth and excellence, is seeking an exceptional part time Executive Assistant to support a high-level Managing Director. Responsibilities

  • Manage and optimize the executive’s complex calendar, scheduling meetings, and coordinating logistics efficiently
  • Act as the primary point of contact for client follow-ups and communicate with external partners
  • Log data into CRM systems and update contact profiles accurately and promptly
  • Prepare and organize proposal documents, reports, and meeting notes, utilizing AI tools for recording and transcription
  • Set up and manage calendar blocks, deadlines, and task follow-ups to ensure timely completion of deliverables
  • Collaborate with the executive to streamline workflows and improve overall organizational processes
  • Monitor emails, handle correspondence, and prioritize urgent activities to support daily operations
  • Assist with documenting and tracking project or task statuses, and send timely follow-ups
  • Review recorded meetings, provide summaries, and log relevant information into CRM and document systems

Qualifications

  • Proven experience supporting C-level executives or high-level leaders, preferably within finance or investment firms
  • Strong organizational prowess with exceptional attention to detail and multitasking ability
  • Excellent written and verbal communication skills to facilitate clear and professional correspondence
  • Advanced proficiency in Microsoft Office Suite and CRM platforms
  • Familiarity with AI note-taking tools or similar technologies
  • Demonstrated reliability, punctuality, and ability to operate independently in a fast-paced environment
  • Ability to handle confidential information with discretion and professionalism
  • Comfortable with remote or hybrid work setups and adaptable to evolving technological tools
