Executive Assistant

Responsibilities
- Manage and optimize the executive’s complex calendar, scheduling meetings, and coordinating logistics efficiently
- Act as the primary point of contact for client follow-ups and communicate with external partners
- Log data into CRM systems and update contact profiles accurately and promptly
- Prepare and organize proposal documents, reports, and meeting notes, utilizing AI tools for recording and transcription
- Set up and manage calendar blocks, deadlines, and task follow-ups to ensure timely completion of deliverables
- Collaborate with the executive to streamline workflows and improve overall organizational processes
- Monitor emails, handle correspondence, and prioritize urgent activities to support daily operations
- Assist with documenting and tracking project or task statuses, and send timely follow-ups
- Review recorded meetings, provide summaries, and log relevant information into CRM and document systems
Qualifications
- Proven experience supporting C-level executives or high-level leaders, preferably within finance or investment firms
- Strong organizational prowess with exceptional attention to detail and multitasking ability
- Excellent written and verbal communication skills to facilitate clear and professional correspondence
- Advanced proficiency in Microsoft Office Suite and CRM platforms
- Familiarity with AI note-taking tools or similar technologies
- Demonstrated reliability, punctuality, and ability to operate independently in a fast-paced environment
- Ability to handle confidential information with discretion and professionalism
- Comfortable with remote or hybrid work setups and adaptable to evolving technological tools
