Position Overview
The Private Events Manager will lead sales and catering for BIBA’s social and corporate events. This role combines sales acumen with event expertise, ensuring that every private event—whether an intimate dinner, milestone celebration, or corporate gathering—reflects BIBA’s commitment to discretion, sophistication, and artistry. The successful candidate will be a polished connector, equally comfortable negotiating with high-profile clients and collaborating internally to deliver flawless events. Key Responsibilities
Sales & Business Development: Proactively generate new private event business from members, prospective members, and external clientele. Conduct site visits, presentations, and proposals that showcase BIBA’s event capabilities and lifestyle. Negotiate contracts and achieve revenue targets while protecting the exclusivity of the brand. Actively prospect and solicit, develop and maintain catering accounts through personal sales calls, trade shows, and on-site entertainment. Supervise the execution of banquet events. Finalize event requirements and personally booked catering events while maximizing revenue potential through upselling and ensuring effective communication with all departments (e.g., resumes, BEOs, daily reports) for event success. Ensure accuracy of banquet checks and provide bill review on completion of programs or events. Manage challenges that arise while groups are on property and communicate with F&B & Hotel Teams to enable prompt corrective action. Event Planning & Execution
Serve as the primary point of contact for all private event clients from inquiry to execution. Collaborate with culinary, beverage, and operations teams to design bespoke menus and experiences. Oversee event logistics, including setup, staffing, timelines, and client communication to ensure seamless delivery. Brand Alignment
Uphold BIBA’s refined art de recevoir and cosmopolitan cultural identity in every event. Curate events that elevate BIBA’s reputation as a cultural hub and destination for elegant gatherings. Collaborate with the marketing team to discreetly and strategically highlight private event offerings. Financial & Operational Stewardship
Manage event budgets, track revenue performance, and maintain accurate forecasting. Partner with the Membership Manager and Hotel Manager to integrate events into the broader member engagement strategy. Maintain meticulous records of client activity and event outcomes in CRM. Candidate Profile
3+ years of sales and event management experience in luxury hospitality, private clubs, or boutique hotels. Proven track record of driving event sales and delivering high-profile events. Exceptional interpersonal and presentation skills with the ability to engage confidently with high-net-worth individuals and corporate clients. Highly organized, detail-oriented, and capable of managing multiple events simultaneously. Strong negotiation skills and financial acumen.
