The Mass Communications Coordinator plays a critical role in supporting The Management Trust’s print shop operations by ensuring the timely, accurate, and secure processing of client communications. This position is responsible for managing high-volume mailings, coordinating with internal teams, and maintaining precise records to support community association needs. The Administrator ensures that all communications are executed in compliance with postal regulations and organizational standards, reflecting the professionalism and reliability our clients expect. This role requires strong attention to detail, organization, and time management, as well as the ability to work collaboratively with others in a fast-paced environment. The ideal candidate will be service-oriented, solutions-driven, and committed to upholding the quality and efficiency of our mass communications operations. JOB DUTIES AND RESPONSIBILITIES

Client Mailing Management: Process and fulfill client mailing requests accurately and promptly, ensuring all materials are prepared and dispatched according to specifications. Mail Sorting and Distribution: Sort incoming and outgoing mail, packages, and printed materials, ensuring timely and accurate delivery to the appropriate recipients Inventory Management: Maintain and monitor inventory of mailing supplies, including envelopes, labels, and postage, ensuring adequate stock levels. Equipment Operation: Operate and maintain mailroom equipment such as postage meters, folding machines, and envelope sealers, ensuring they are in good working condition. Record Keeping: Maintain accurate records of all mailroom activities, including tracking shipments, logging incoming and outgoing mail, and documenting postage expenditures. Collaboration: Work closely with the print shop team to coordinate mailing schedules and ensure timely delivery of client materials. Compliance: Adhere to all relevant postal regulations and company policies to ensure compliance and security of all mailroom operations. QUALIFICATIONS

Experience in a mailroom or administrative role, preferably within a print shop or similar environment. High School Diploma (or equivalent) Proficient in operating mailroom equipment and basic office machinery. Solid knowledge of Microsoft Outlook, Excel, and Word; intermediate skills a plus Ability to provide high-level customer service with astute attention to detail and organization Must be a team player Ability to work under pressure and meet strict deadlines Willing to learn Company process and procedures, and learn/use proprietary software Professional and respectful demeanor with all internal and external customers always Dependable and punctual with a strong work ethic ESSENTIAL FUNCTIONS

Use standard office equipment, including: computer, phone, copier/scanner, etc. Be stationary for periods of time Relocate up to (25) pounds Manual dexterity to operate mailroom equipment and handle materials. SCHEDULE & TRAVEL
