Position Summary

Southend Pharmacy is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to the Vice President of Operations. This individual will play a critical role in ensuring the smooth execution of daily operations, managing priorities, and enabling the Vice President of Operations to focus on strategic initiatives. The ideal candidate thrives in a fast-paced environment, demonstrates excellent judgment, and can anticipate needs with a solutions-oriented mindset.


Please note: This position is not eligible for visa sponsorship, including F-1 student visas (CPT/OPT) or H-1B visas. Candidates must be authorized to work in the United States on a permanent basis without the need for current or future sponsorship.


Key Responsibilities

  • Manage the VPOps’ calendar, including scheduling meetings, coordinating appointments, and resolving scheduling conflicts.
  • Prepare and organize reports, presentations, and correspondence for internal and external stakeholders.
  • Assist with project coordination, tracking deadlines, and monitoring progress on key operational initiatives.
  • Coordinate and prepare materials for leadership meetings, including agendas, minutes, and action items.
  • Act as the primary point of contact for the VPOps, managing communication flow with internal teams, partners, and vendors.
  • Conduct research, compile data, and prepare executive-level summaries or briefings as needed.
  • Handle confidential and sensitive information with the highest level of professionalism and discretion.
  • Support operational efficiency by identifying process improvements and providing administrative solutions.
  • Arrange travel, accommodations, and logistics for meetings, conferences, and site visits.
  • Perform other administrative duties and special projects as assigned.


Required Qualifications

  • Bachelor’s degree in business administration, Communications, or related field, OR equivalent professional experience.
  • 5+ years of experience as an Executive Assistant or in a comparable administrative support role for senior leadership.
  • Strong organizational skills with the ability to prioritize and manage multiple projects under tight deadlines.
  • Excellent written and verbal communication skills with a high degree of professionalism.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with project management and collaboration tools (e.g., Teams, SharePoint, Asana, or similar).
  • Proven ability to exercise discretion and maintain confidentiality.
  • Strong problem-solving skills and ability to work independently with minimal supervision.


Preferred Qualifications

  • Experience supporting operations or leadership in the pharmaceutical, healthcare, or related industry.
  • Familiarity with pharmacy operations, regulatory compliance, or healthcare administrative processes.
  • Experience coordinating projects across cross-functional teams.
  • Advanced skills in creating executive-level presentations and reports.
  • Ability to adapt quickly to changing priorities in a high-growth environment.
