DEFINITION
To provide highly responsible, complex, and confidential secretarial support to a principal of a school to coordinate the secretarial and clerical services of the school; and to disseminate information to staff, parents, students, and the community.

Three years of responsible secretarial and clerical experience preferably including one year in a public school.

Work Schedule:
This position typically works full-time, eight (8) hours each day, and observes an 11-month calendar.
Compensation:
The initial hiring rate is at the first step of the appropriate five-step salary schedule for the position. The probationary period is 130 work days in paid status (not counting sick, industrial accident). Upon completing the probationary period for permanent status, a one-step salary advance will be granted and shall establish an anniversary date upon which all future advances on the salary range shall be based.

Holidays and LeavesSeventeen (17) paid holidays that fall within the work year, pursuant to the District's Collective Bargaining Agreement with California Schools Employees Association Chapter 296 (CSEA).
Sick leave shall be granted in the proportion of daily hours worked. Vacation is earned at the prescribed rate as part of compensation, and does not become vested until after completion of the initial probationary period.
Work Environment
Indoor office environment; subject to frequent interruptions.
Exposure to temperature extremes in climate-controlled and outdoor environments when walking to and from buildings.
Physical Demands
The usual and customary methods of performing the job's functions require the following physical demands: sitting for extended periods; some lifting, carrying, pushing, pulling; some bending, stooping, squatting, twisting at waist, and reaching; hand and finger dexterity to operate standard office equipment, computer keyboard and mouse, telephone, two-way radio, use writing instruments for note taking; lift and carry office supplies and equipment weighing up to 25 pounds; vision and hearing in normal audio range with or without correction; exposure to various noises from office equipment/machines, employees, and the public.

DEFINITION

- Receives direction from a Principal.
- Exercises functional and technical supervision over clerical staff at assigned school site.
Duties may include, but are not limited to, the following:
- Serve as personal secretary to a school principal; may take and transcribe dictation; type and proofread a wide variety of reports, letters, memos and statistical charts; type from rough draft, verbal instructions or transcribing machine recordings; compose correspondence related to responsibilities assigned.
- Assist principal in the maintenance of the school budget; transfer monies between accounts; record data and balance accounts; complete and process purchase orders, requisitions and reimbursements; maintain appropriate records.
- Screen office and telephone callers; respond to complaints and requests for information on regulations, procedures, systems and precedents relating to responsibilities assigned; when necessary, refer inquiries and complaints to appropriate staff.
- Compile data for special projects; collect and assemble data and background materials for a variety of reports.
- Supervise and train clerical personnel within the school office; plan, prioritize, assign, supervise, and review the work of staff involved in the school activities.
- Participate in the selection of staff; provide or coordinate staff training; work with employees deficiencies; implement discipline procedures.
- Perform a variety of duties using a computer in daily work activities; update and maintain a variety of records and reports.
- Maintain master calendar for school functions and usage; maintain calendars and schedules of activities, meetings, and various events; coordinate activities with other departments, the public and outside agencies.
- Open, read, and distribute mail; review incoming mail to the principal; determine priority and/or action to be taken by the principal.
- Prepare and disseminate special bulletins and memoranda.
- Perform general clerical work including filing, scheduling appointments and meetings.
- Organize and maintain filing systems; maintain records relating to specific area of assignment.
- May record student attendance; telephone parents to confirm status of absent students; provide regular attendance reports to the District offices.
- Organize and maintain payroll sheets and payroll books, conference sheets and overtime reports and distribute payroll checks.
- Serve as school registrar; enroll and transfer students.
- Verify and review materials for completeness and conformance with established regulations and procedures.
- Independently compose routine letters from marginal notes or verbal instructions; compose routine correspondence.
- Operate a variety of office equipment including a computer; input and retrieve data and text; organize and maintain disc storage and filing.
- Order, store, and issue office and instructional supplies; maintain inventory records; process invoices and purchase orders.
- Administer first aid; act as school nurse as required.
- Orient sub teachers; assign keys, sign payroll sheets, review attendance procedures and day's schedule.
- Keep current on all laws, rules, and regulations, and District policies, rules and regulations.
- Working with confidentiality in dealing with students and staff regarding personal matters.
- Perform related duties as assigned.
