Position Summary

We are seeking a reliable, detail-oriented Administrative Assistant to support the day-to-day operations of our firm. This role is ideal for someone who thrives in a small-office environment and is comfortable wearing multiple hats. You will play a vital role in maintaining office efficiency, supporting client service efforts, and ensuring smooth workflows.

Key Responsibilities

  • Serve as the first point of contact for clients via phone, email, and in-person interactions
  • Schedule and coordinate client meetings, conference calls, and internal appointments
  • Manage calendars, travel arrangements, and meeting logistics for executives
  • Prepare, proofread, and format client correspondence, reports, and presentations
  • Maintain organized electronic and physical filing systems
  • Assist in processing paperwork for client accounts, including account openings, transfers, and compliance documentation
  • Monitor office supplies and handle ordering and vendor coordination
  • Support marketing and communications efforts
  • Handle confidential information with professionalism and discretion

Education

Bachelor’s degree

Qualifications

  • 1+ years of experience in an administrative or office support role (financial services experience preferred)
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication abilities
  • High level of attention to detail and accuracy
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with CRM systems or financial software is a plus
  • Professional demeanor and a client-first attitude
