Administrative Assistant /Ecclesiastical and Public Notary

Full-time Non-exempt Position

The Catholic Diocese of Cleveland was founded on April 23, 1847. Under the leadership of the Most Reverend Edward C. Malesic, bishop of Cleveland, it is the twenty-third largest diocese in the United States. The diocese encompasses the counties of Cuyahoga, Summit, Lorain, Lake, Geauga, Medina, Wayne and Ashland. There are more than 670,000 Catholics in the Diocese, and Catholic Charities- Diocese of Cleveland is one of the largest diocesan systems of social services in the world. There are 184 parishes, 107 Catholic schools, 1 pastoral center and 1 mission office within the diocese. The cathedral is the Cathedral of St. John the Evangelist, located in downtown Cleveland.

The Tribunal primarily handles questions of matrimonial invalidity. The Tribunal staff members also assist with other matters related to canon (Church) law.

  • Responsibilities
  • Provide excellent professional, secretarial and clerical support to the staff and clients.
  • Extensive handling of confidential client information.
  • Filing, mailing and scanning.
  • Data entry of confidential client information into Data Base System.
  • Generates and prepares outgoing case related correspondence and documents.
  • Research and verifies addresses, locations and documents.
  • Responds to case inquiries as required.
  • Answers phone calls and appropriately respond to requests and inquiries.
  • Serves as support resource to other Offices as needed.
  • Performs additional responsibilities as needed or directed

Qualifications

  • Must be in full communion with the Catholic Church and be eligible for appointment as an ecclesiastical Notary. Knowledge of and commitment to the mission, traditions, and values of the Catholic faith.
  • High school diploma or equivalent.
  • At least one year’s experience in an office environment.
  • Knowledge of Microsoft Word, Microsoft Outlook, Data Base Systems, use of the Internet and search engines.
  • Position requires confidentiality. An oath must be taken to serve in this role.
  • Must be or become certified as a Notary Public. The Office will support the achievement of this certification.
