Overview

The Executive Personal Assistant provides comprehensive and strategic administrative support to senior executives, ensuring optimal efficiency in daily operations, communication, and planning. This position requires discretion, high attention to detail, strong organizational and interpersonal skills, and the ability to work proactively and independently in a dynamic and fast-paced environment.

Responsibilities

  • Proactively manage the executive’s calendar, scheduling meetings, travel, and personal appointments with minimal direction.
  • Coordinate complex domestic and international travel arrangements, including itineraries, accommodations, and logistics.
  • Serve as a primary point of contact between the executive and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Handle sensitive and confidential information with discretion.
  • Draft, proofread, and manage email correspondence, presentations, memos, and reports on behalf of the executive.
  • Prepare meeting agendas, take meeting minutes, and ensure timely follow-up on action items.
  • Assist with project management tasks and track deadlines and deliverables.
  • Support personal errands and executive’s household management as needed (e.g., appointments, reservations, or family logistics).
  • Manage expense reports, budgets, and vendor relationships as directed.
  • Anticipate the executive's needs and proactively resolve challenges before they escalate.

Requirements

  • Bachelor’s degree preferred; equivalent experience considered.
  • 3–5+ years of experience supporting C-level or senior executives.
  • Exceptional organizational and time-management skills with strong attention to detail.
  • Strong written and verbal communication abilities.
  • High proficiency in Microsoft Office Suite, Google Workspace, and calendar management tools.
  • Proven ability to handle confidential information with integrity and discretion.
  • Comfortable balancing professional and personal support duties.
  • Able to manage competing priorities and deadlines calmly and efficiently.
