Event Services Supervisor Summary

GENERAL RESPONSIBILITIES Manages event logistics and supervises event services and relocation staff in setting up and taking down campus events. Responsibilities include banners, directional signage, furniture, tables and chairs, stages and equipment for interior and exterior college events; serving as the point of contact for vendors and contractors such as food trucks, gaming vendors, or contracted movers; instructing contractors on required tasks and timelines; managing inventory of furniture, equipment and materials; advising event planners on processes for event approval including capacity, ADA, fire code, signature authority, etc.; overseeing moves of office furniture and equipment to and from offices and off-campus locations; assisting the finance office with tracking inventory; assessing and recommending furniture and equipment needs; supervising 4 full-time workers, 2-4 work-study students, and 1-2 temporary employees. Essential Role Responsibilities

Fully supervise facility event services staff and manage inventory for interior and exterior college events. Coordinate campus-wide student-sponsored events requiring Facilities Services equipment or assistance; manage set-up/take-down; address routine issues; refer complex matters to appropriate personnel; follow up to ensure completion. Serve as the point of contact for renovations projects involving asset relocation. Supervise and perform furniture and equipment moves campus-wide; main point of contact for move requests. Develop PMs in the work order system for classroom inventory; ensure seating matches capacity; periodically check for broken or worn inventory and replace as needed; maintain lobby and study area furniture integrity. Initiate planning meetings for Asset Relocation Requests and Campus-Wide Events. Supervise storage, allocation, and setup of special events equipment (chairs, tables, linen, staging, flags, backdrops, lecterns, risers, etc.). Assess and determine necessary furniture for each event; oversee moving and return to storage. Maintain detailed inventory of furniture and materials; recommend purchases as needed. Publish surplus inventory to HCC staff; determine repurposing or discard of unused items. Attend Facilities Services meetings and trainings; advise staff on topics discussed; act as essential personnel for emergencies. Perform other duties as assigned. Minimum Education Required

High School or equivalent Experience Required

2 years Preferred Experience

A High School diploma or equivalent; 2 years of related facility service/set-up experience; two years of supervisory experience. Thorough knowledge of practices, tools, and equipment used in facility set-up. Some working knowledge of computers (Word processing, Internet). OSHA Safety Regulations. Physical strength and stamina for heavy tasks; knowledge of proper grounds keeping practices. Excellent customer service skills; basic computer knowledge and proper email/phone etiquette. Other requirements: ability to work under pressure; effective verbal and written communication with college personnel of all levels; ability to maintain confidentiality; regular attendance; valid Maryland driver’s license; contribute to sustainability initiatives. Daily lift of up to 75 pounds; exposure to physical elements and health hazards; work in extremes of noise, temperature, humidity and inclement weather; may be on call; may involve hazardous materials; overtime may be required; leave approval may be limited during peak activity.
