Reporting directly to the People Operations Manager, the Administrative Assistant plays a vital role in providing administrative support to the CEO and, as capacity allows, to other executives. Key responsibilities include managing the CEO’s calendar, coordinating internal and external communications, arranging travel, preparing meeting materials, and supporting special projects and strategic initiatives. This role also oversees front office operations and handles a wide range of administrative tasks that support daily business functions. The Administrative Assistant serves as a key liaison between leadership, team members, and external stakeholders—and represents the organization with professionalism and discretion. In-person attendance at Board of Directors meetings is required. Essential Functions

Calendar Management: Proactively manage and synchronize calendars for the CEO, scheduling meetings to maximize efficiency and value of time, and avoiding time conflicts. Evaluate incoming meeting requests and prioritize those that align with the CEO’s and other executives’ most critical goals. Administrative Tasks: Handle expense reports and other administrative tasks as needed for the CEO and other executives. Front Office Administration: Greet and assist visitors, clients, and employees in a professional and friendly manner. Ensure all guests are properly signed in and escorted as necessary. Provide a welcoming and professional environment for visitors and clients, ensuring all logistical arrangements are handled smoothly. Serve as a point of contact for facilities-related issues and communicate with relevant departments to ensure a smooth office environment. Meeting Coordination: Prepare agendas, distribute materials, may be asked to take detailed minutes, and follow up on action items for meetings. Board Liaison: Support the CEO in communicating effectively with the Board of Directors and coordinate meeting logistics. Travel Arrangements: Arrange domestic and international travel, including booking flights, accommodations, transportation, and managing itineraries for conferences and meetings. Communication & Document Management: Support the CEO with drafting, reviewing, editing, and distributing professional communications, reports, presentations, announcements, and other documents. Project Management: Manage administrative projects, including coordinating team initiatives, tracking deadlines, and following up on progress. Liaison and Relationship Building: Act as a primary point of contact for internal and external stakeholders, building strong working relationships across the team. Confidentiality: Maintain strict confidentiality regarding sensitive information and executive matters. Perform other duties as assigned. Enhance professional growth and development through participation in educational programs, current literature and workshops. Qualifications

3+ years of experience working with C-level executives, preferably a CEO. Develops professional expertise, applies company policies and procedures to resolve a variety of issues; determines a course of action based on guidelines and modifies processes as required. Works on problems of moderate scope, which require analysis of situation/data and judgment. Responsible for own work. Collaborates within and outside the team. Receives little instruction on day-to-day work, general instructions on new assignment. Education
