We are seeking a highly organized and detail-oriented
Executive Administrative Assistant
to join the team on a contract basis. This role provides high-level administrative support to senior executives, ensuring smooth day-to-day operations through effective calendar management, communication coordination, travel planning, and document preparation. Key Responsibilities
Calendar Management:
Schedule appointments, meetings, and manage executive calendars to optimize time and priorities. Communication Management:
Screen and direct phone calls, manage incoming emails and correspondence, and serve as a liaison between executives and internal/external stakeholders. Meeting & Event Coordination:
Arrange and coordinate meetings, conferences, and events, including preparing agendas, recording minutes, and distributing follow-ups. Document Preparation:
Draft, edit, and format correspondence, reports, presentations, and other documents using Microsoft Office Suite. Travel Arrangements:
Book flights, accommodations, and transportation; prepare detailed itineraries and manage travel logistics. Record Keeping:
Maintain organized filing systems for documents, records, and reference materials. Office Support:
Order supplies, manage office inventory, and welcome visitors professionally. Project Assistance:
Support special projects and ad-hoc tasks as needed. Confidentiality:
Handle sensitive and confidential information with discretion and professionalism. Research:
Conduct research and gather information to support executive decision-making. Qualifications
5+ years of experience
in a support role to senior-level executives. Bachelor’s Degree
required. Exceptional
teamwork, communication, and interpersonal skills . Ability to work
independently with minimal supervision . Highly
organized and efficient , with extraordinary
attention to detail
and ability to
prioritize tasks . Strong written and verbal communication skills. Proficient in
Microsoft Office Suite High level of
professionalism, integrity, and discretion . Superior
interpersonal skills
