Overview
Executive Assistant to the Dean (7384U) - 63514 at University of California, Berkeley. The EA3 position provides confidential, professional support to the Dean of the Graduate School of Education (GSE) and serves as the principal communications link between the Dean and faculty, staff, students and external constituencies. The role includes coordination of communications and administrative processes, management of the Dean's calendar, preparation of briefing materials, and involvement in special projects and strategic initiatives. Responsibilities
Respond to routine and non-routine inquiries regarding department and campus operations, policies, and procedures with discretion and diplomacy. Forward issues to appropriate staff for resolution and manage high-level internal and external contacts with sensitivity and timeliness. Prioritize issues to align the Dean’s time with program goals and priorities, and manage scheduling for events and meetings. Provide administrative and technical assistance on special projects; gather data, summarize issues, prepare documents, and assist with drafting and editing. Develop and implement efficient systems for information and project management; serve as a gatekeeper to prioritize the Dean’s time. Coordinate communications and maintain frequent contact between the Dean, Associate Dean, and Assistant Deans. Record meeting notes/minutes as required and handle a variety of matters on behalf of the Dean. Draft briefing documents, correspondence, and general communications; maintain a database of contacts and assignments; assist with copying, mailing, and filing. Collect, organize, and maintain data for planning initiatives; plan and direct complex events, symposiums, receptions, and forums; arrange logistics and vendor contracts as needed. Serve as backup Building Coordinator and participate in professional development. Required Qualifications
Familiarity with organizational processes, protocols, and procedures. Knowledge of FERPA and related regulations. Proficiency with common organization-specific and other computer applications; strong analytical and problem-solving skills. Political acumen and sensitivity to diverse perspectives within the organization and external stakeholders. Strong service orientation and ability to work proactively as part of a team; excellent written and oral communication skills. Ability to meet deadlines, handle high-pressure, fast-paced environments, and multi-task with demanding timeframes. Ability to write and edit well; maintain confidentiality and exercise high discretion; professional appearance and demeanor; strong attendance. Willingness to work with flexibility for some evening and weekend activities. Bachelor’s degree in a related area or equivalent experience/training. Preferred Qualifications

This is a 100% full-time exempt career position (40 hours/week), eligible for UC Benefits. The posted salary range is $64,400.00 - $112,800.00.
