We are seeking an HR & Administrative Coordinator to join our team!
The Role
The HR & Administrative Coordinator serves as the first point of contact for guests and employees, managing front desk operations while also supporting a variety of Human Resources functions. This dual role ensures smooth office administration, employee engagement, and compliance with HR processes. The ideal candidate will be organized, approachable, and capable of handling multiple priorities with discretion and professionalism.
What You'll Do
Front Desk & Administrative Support Greet visitors, manage sign-in processes, and distribute visitor badges Answer and route incoming calls to the appropriate department or staff Manage mail distribution, document scanning, filing, and shredding Maintain a clean, welcoming front office environment Manage office supplies and restocking of breakroom and restroom essentials Coordinate with facility vendors for services such as HVAC, pest control, electrical, and plumbing Assist with planning and setup of company events including employee engagement initiatives Reconcile travel and expense reports in Concur Design and send internal communications (e.g., birthday/anniversary emails, newsletters) Human Resources Support
Support recruitment efforts: post job openings, candidate screening, and Interview scheduling Process onboarding and offboarding tasks, including new hire orientation, background checks, and equipment coordination Maintain and update employee files in both physical and digital formats Monitor attendance records and administer write-ups per company policy Support payroll processing by verifying timecard approvals and updating bonus worksheets Assist in the administration of employee benefits, payroll coordination, and leave management Ensure HRIS data accuracy, including state tax registration updates Serve as a point of contact for employee inquiries regarding HR policies, procedures, and workplace issues Prepare documentation for audits and ensure compliance with employment laws. Serve as a point of contact for employee inquiries regarding HR policies, procedures, and workplace issues Ensure confidentiality and security of HR and company information at all times What We're Looking For
Bachelor's degree in Human Resources, Business Administration, or a related field SHRM-CP certification preferred 2+ years of experience as an administrative, office coordinator 2+ years of HR experience, preferably in a corporate or multi-site environment Excellent communication and interpersonal skills Strong organizational skills and attention to detail Comfortable multitasking in a fast-paced environment Proficient in Microsoft Office Suite (Word, Excel, Outlook) Familiarity with HR systems (e.g., ADP, Rippling) and Concur preferred Proficient in handling confidential data with discretion. In-depth understanding of labor laws and HR compliance requirements. Ability to manage multiple tasks, prioritize responsibilities, and work independently. Experience with Canva and event coordination Bilingual in Spanish is a plus Compensation, Perks & Benefits
