Position Title: Administrative Assistant

Reports To: VP Finance & Operations

FLSA Code: Non-exempt

Organizational Size: 20–35 staff

Compensation: $20-$23 per hour, 32-40 hours per week

The AAC is searching for an enthusiastic individual to serve as an Administrative Assistant who plays a key support role in ensuring smooth day-to-day operations of the American Alpine Club. This position supports multiple operational functions, including member support, mail processing, merchandise order fulfillment, inventory tracking, donor acknowledgements, and general administrative tasks. The ideal candidate is detail-oriented, organized, and thrives in a mission-driven, collaborative environment.

As the Administrative Assistant, your key responsibilities are:

  • Process incoming and outgoing mail.
  • Prepare and ship merchandise orders from the AAC store.
  • Prepare and ship programmatic mail to support grants, events, etc.
  • Prepare and ship membership mailers, like books and t-shirts, as requested.
  • Maintain accurate inventory records for merchandise and restock supplies as needed.

Donor & Member Support

  • Assist with donor and member inquiries regarding orders, contributions, and membership via customer service channels (email and phone).
  • Generate and mail thank-you letters and tax acknowledgement receipts for donations.
  • Ensure data entry for donations, memberships, and contacts is accurate and timely.
  • Support events upon request.

Administrative Operations

  • Support office environment, including supply purchasing, weekly tidying, etc.
  • Assist with event material preparation, mailings, and logistics.
  • Maintain organized filing systems, both digital and physical.
  • Provide general administrative support to staff as assigned.
  • Additional duties as assigned by the VP of Finance and Operations

An exceptional fit will have:

  • Communicate effectively among a diversity of lived experiences and identities.
  • 1+ year of administrative, operations, or customer service experience.
  • Strong organizational skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Suite and comfort with learning new systems. Salesforce experience is preferred.
  • Ability to lift up to 30 lbs and stand for extended periods during order fulfillment.
  • Preferred: Experience with donor databases or CRM systems (Salesforce a plus), nonprofit or retail fulfillment experience, and familiarity with the climbing community and/or outdoor recreation industry.

70% Desk work – Typical office work on a computer utilizing G Suite, Slack, Zoom, and other computer-based programs.

30% Physical work – This position requires frequent lifting (up to 30lbs) and bending, including assisting with the receipt and distribution of inventory, mail, and other materials.
