As the first point of contact for our patients, the Receptionist plays a vital role in creating a positive experience and ensuring our health and dental centers run smoothly.

Receptionists are responsible for working in both of our clinics in Wailuku and our clinic in Lahaina. Malama I Ke Ola does provide reimbursement for mileage.

The Receptionist is responsible for keeping the centers running efficiently by answering the telephones, registering all new patients, and checking in patients on a timely basis. To maintain first contact with all patients entering and exiting the organization for dental/health care and acts as liaison between all CCM personnel and patients. Assumes responsibility for information related to patient registration and demographics. The primary responsibility is to ensure that the needs of all patients are met promptly to patient satisfaction.

Essential Duties And Functions

  • Pleasantly greets patients at the reception desk, and responsible for helping to make patients feel comfortable while in the clinic.
  • Responsible for keeping patient intake flowing at an appropriate pace.
  • Directs QUEST application questions to Member Services.
  • Ensures that the reception area is clean and orderly at all times.
  • Obtains essential patient information for registration and assists patients and families with necessary registration forms and insurance applications.
  • Reviews clinic registration forms for completeness and performs follow up of any necessary corrections.
  • Explains sliding fee scale and requirements to qualify.
  • Responsible for creating new accounts and reviewing established accounts for updated information in EHR system (Epic).
  • Scans all documents received from patients into document management storage and imports to patient's file/account.
  • Reviews proof of income documentation and updates system as necessary.
  • Receives and relays incoming telephone calls for the clinic.
  • Takes and routes messages to appropriate persons.
  • Follows up on patient requests and messages.
  • Collects patient fees after all uninsured visits or as appropriate, and records receipts. Inputs all payments received into patient's account in EHR.
  • Responsible for reconciling all payments received, and balancing with the Daily Balance and Deposit Slip.
  • Maintains strict confidentiality of patient information and all clinic files.
  • Assists and supports all staff in the clinic.
  • Maintains effective working relationships with clinic personnel and the public.
  • Adheres to the policies and procedures of the Community Clinic of Maui, Inc.
  • Updates patient information as required.
  • Makes reminder calls to patients for following day appointments.
  • Verify patient’s insurance for following day and standby appointments.
  • Keeps an accurate count of all patient visits for all sites.
  • Maintains a professional demeanor and patient satisfaction by always keeping in mind that the front desk makes both the first and last impression on each patient.
  • Participates in quality improvement activities.
  • Demonstrates a cooperative team approach in activities.
  • Attends and participates in meetings, committees, and training sessions as instructed by the Office Manager or the Lead Receptionist.
  • Other duties as assigned.

Qualifications

  • To perform this job successfully, an individual must be able to perform each essential job function assigned satisfactorily.

Education

  • High School diploma or equivalent.

Experience

  • Minimum one-year experience in a customer service role required; experience in a dental/medical office preferred.

Skills/Competencies

  • Skill in maintaining accurate and confidential records.
  • Ability to maintain quality control standards.
  • Ability to communicate clearly and relate well to others.
  • Ability to read, write, and understand the English language and respond to detailed oral and written instructions.
  • Skilled in establishing and maintaining working relationships with patients, practitioners, co-workers, and the public.
  • Knowledge of common safety hazards and precautions to maintain a safe work environment.
  • Ability to react calmly and effectively in emergency situations.
  • Typing speed 45 wpm.
  • Computer skills.
  • Prior telephone experience.
  • Ability to problem solve and prioritize tasks.
  • Ability to develop and recommend procedures for front desk activities.
  • Proven reliability, trustworthiness, flexibility, and high ethical standards.
  • Ability to handle multiple tasks.
  • Ability to continue a task after an interruption and adaptable to change.
  • Demonstrated ability to treat all individuals with respect and aloha.

Other Requirements

  • Valid driver’s license.
  • Access to an insured vehicle.
  • TB clearance within previous 12 months.
