Job Title: Executive Assistant

Job Location: Saint Petersburg, FL-33716

Job Duration: 6 months contract

Responsibilities

  • This is a contract-to-hire opportunity depending on performance and attendance.
  • Onsite work at the corporate office 3-4 days per week.
  • Provide executive administrative support to 4 Senior Vice Presidents of Technology. High level executives require top-notch, quality support.

Essential Duties and Responsibilities

  • Provide the full spectrum of support to two or more SVPs within the Technology organization.
  • Maintain confidentiality.
  • Provide executive support including answering telephones, assisting visitors, and resolving or referring a range of administrative problems and inquiries.
  • Schedule and coordinate meetings, events, lunches, interviews, and appointments; may include coordinating travel and lodging arrangements.
  • Procure office and kitchen supplies, including backfilling kitchen and supply cabinets on the floor.
  • Assist with hoteling issues; troubleshoot on the floor, coordinate with End User Support for replacements, etc.
  • Submit expense reports weekly and reconcile Corporate American Express accounts for executives.
  • Sort, screen, review, and distribute incoming/outgoing email.
  • Build strong professional relationships with IT Admin Team and the firm.

Qualifications

  • Knowledge of:
    • Organizational policies and practices
    • Confidentiality policies
    • Investment concepts, practices and procedures used in the securities industry
    • Principles of banking and finance and securities industry operations
    • Terminology of financial markets and technology products
  • Skills In:
    • Executive support activities for a SVP of a major organizational area
    • Answering telephones and assisting visitors
    • Preparing, transcribing, composing, typing and editing correspondence, agendas and minutes
    • Scheduling and coordinating meetings, events, interviews, and appointments
    • Preparing reports and maintaining files/databases
    • Performing routine analyses and calculations for reports
    • Sorting, screening and distributing email
    • Microsoft 365, Concur, Viso, MS Teams, Zoom, and standard office equipment

Education

  • High School diploma and 4-6 years of experience in providing secretarial and administrative support to executives at a SVP/department head level in a large financial services environment.
