Who We’re Looking For
Brentwood is seeking an Executive Assistant to support a tenured Partner and other senior members of our Investment, Growth and Operations Team. This role ensures seamless day-to-day operations, manages key priorities, and acts as a liaison across the firm. The ideal candidate is proactive, highly organized, thrives in an agile and results-driven environment, and can manage multiple priorities effectively.
The role requires flexibility, adaptability, and willingness to support all aspects of the Partner’s needs, including work-related and personal matters as part of a blended professional/personal life. The Executive Assistant team collaborates to plan and execute large firm events, coordinate calendars, and support office operations to foster a high-performing culture. The team also identifies opportunities to streamline processes and improve firm operations.
This is a full-time position located in West LA (near Westwood). Brentwood operates in-office Monday–Thursday with Flexible Fridays. Strong preference for candidates seeking an in-office role with ties to the LA area.
What You’ll Do
- Act as a strategic partner to the senior partner, anticipate needs, prioritize tasks, and ensure follow-through on key initiatives. Proactively create efficiency, remove distractions, and keep processes moving smoothly.
- Be the primary point of contact for internal and external communications, handling confidential matters professionally. Communicate with senior management teams, Limited Partners, Investor Relations, deal sources, and other industry influencers.
- Manage complex calendars, coordinate meetings, and handle logistics for board meetings, investor meetings, and industry events.
- Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries using the firm’s travel platform.
- Handle expense reporting and reimbursements, using the firm’s expense tools.
- Support both professional and personal needs for the Partner, including coordinating personal appointments and personal errands as needed.
- Support team operations by assisting with onboarding, office supplies, vendor coordination, and general office logistics. The EAs work collaboratively to ensure the office runs smoothly.
- Work with the Executive Assistant team to organize firm-wide events such as offsite planning sessions, quarterly outings, Limited Partner Advisory Board meetings, and the Annual General Meeting.
- Assist in managing Brentwood’s external communications channels, including the website, LinkedIn, Instagram, and email marketing via DealCloud.
- Identify ways to improve efficiency and streamline processes to enhance firm operations.
- Support team initiatives and serve as a resource for colleagues.
Requirements & What You Bring
- Early career to up to 10 years of administrative support experience, preferably in a scaling professional services, startup, or entrepreneurial setting.
- Strong attention to detail, excellent follow-up skills, and proactive problem-solving.
- Ability to handle sensitive and confidential information with discretion.
- Exceptional multitasking and organizational skills; ability to work under pressure.
- Strong interpersonal skills and a customer service mindset; experience working with executives, investors, and stakeholders.
- Tech-savvy with proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience with Zoom, Slack, DealCloud (CRM), Ramp, and Adobe Acrobat Pro is a plus.
- Extensive experience coordinating travel and familiarity with airline, hotel, and reward programs.
- Excellent written and verbal communication skills.
- Occasional after-hours availability may be required, including support for personal tasks as needed (e.g., scheduling personal appointments, coordinating travel for family).
- Bachelor’s degree or equivalent experience.
