About the Role:
This dual-functioning role provides essential support in two key areas: Executive Assistance (70%) to the Head of Americas and Office Management (30%) for the New York office.
Key Responsibilities:
Executive Assistant (70%):
- Manage complex calendar for the Head of Americas.
- Coordinate domestic and international travel arrangements.
- Complete expense reimbursement submissions and review/approve expenses.
- Personally welcome guests, clients, and/or board members.
- Help prepare internal presentation materials, updates, and reports.
- Assist with planning and logistics for internal meetings.
- Provide administrative support on special projects or time-sensitive initiatives.
Office Management (30%):
- Serve as the first point of contact for office visitors and guests.
- Ensure office is fully stocked with refreshments and supplies.
- Coordinate weekly team lunches and support local events.
- Support ad hoc administrative tasks as needed.
What We Value:
- 7-10 years of Executive Assistant experience supporting senior-level executives.
- Office management or similar administrative experience.
- Exceptional organizational and time management skills.
- Adaptable and proactive mindset.
- Friendly and service-oriented approach.
- Proficiency in MS Office and Microsoft Teams.
- Strong verbal and written communication skills.
- High level of discretion, confidentiality, and professionalism.
- Willingness to work on site in the NYC office 4x per week.
