Overview
Position: Community Education Secretary (Scheduling/HR) – 37.5 hours per week, 52 weeks per year, 7:00–3:30, Monday–Friday. Location: Berkley Building Blocks. District: Berkley School District. Classification: IA; Salary: Berkley Educational Secretaries Association (BESA) Salary Schedule.
Job Summary
To support the Supervisor of Early Childhood Education in meeting the management and instructional goals of Berkley Building Blocks Programs so that students, staff and families are assured an open and understanding environment, emotional and physical safety and optimal learning experiences for students.
Qualifications
- Successful experience as a secretary
- High School diploma required; college-level coursework in data management or comparable training/experience preferred
- Effective organizational skills; ability to prioritize and meet deadlines with little supervision
- Experience with technology; competency in:
- Word-processing (letters, memos, reports, etc.)
- Spreadsheets
- File management
- Email and web use
- Windows/Google operating system
- Use of networked systems
- Willingness and ability to learn how to develop electronic presentations and engage in desktop publishing
- Record-keeping ability, skill in accurate data collection; precise recording and informative sharing of data
- Competency in Math and ability to perform mid-level bookkeeping responsibilities
- Excellent written and oral communication skills
- Establish rapport and maintain appropriate relationships with students, staff and parents
- Maintain confidentiality
- Demonstrate willingness and ability to process complex directions and implement them effectively in a busy, multi-tasking environment
- Demonstrate dependability, initiative and problem-solving ability
Duties and Responsibilities
- Serve as building receptionist, answer phone calls, monitor building Key Scan buzzer, view cameras
- Maintain staffing schedule and address list for Berkley Building Blocks Tuition Programs, Kids Zone Latchkey, Head Start, GSRP, ECSE (Fall, Winter, Spring, Breaks and Summer)
- Maintain personnel files for Berkley Building Blocks Tuition Programs, Kids Zone Latchkey, Head Start, GSRP, ECSE
- Notify staff when fingerprints, MiRegistry, physicals, TB results, First Aid, and CPR need updating
- Maintain float list and acquire substitutes for Berkley Building Blocks Tuition Programs, Kids Zone Latchkey, Head Start, GSRP, ECSE
- Maintain and update staff Procare system
- Meet with new hires and complete all new hire paperwork; input staff into the state licensing fingerprinting system and arrange fingerprinting appointments
- Maintain staff sign-in and process payroll for Berkley Building Blocks Tuition Programs, Kids Zone Latchkey, Head Start, GSRP
- Maintain and update Red Rover system with lead teacher absences and time off
- Maintain and update attendance binder with assistant absences and time off requests; track days and issue day-off earned coupons after each pay period for assistant teaching staff
- Process bid orders for all programs, prepare POs and check in materials
