Job Description:

We are a leading, globally recognized fine jewelry house based in New York City, seeking a polished and distinguished professional to serve as the right-hand to our Vice President of Stones & Acquisitions, and occasionally support the President. This role requires poise, discretion, and a deep understanding of the jewelry industry. You will play a critical role in managing the Vice President’s day-to-day operations, ensuring seamless coordination across all facets of the business.

Please note: This is an in-person position based in our New York City office. You must currently reside in the New York area.

Responsibilities:

  • Serve as the primary support for the Vice President, handling daily administrative and organizational tasks.
  • Source diamonds and gemstones for production.
  • Select diamonds and gemstones from in-house stock for designs, repairs, and special projects.
  • Manage the process between design, sourcing, and factories for new and existing pieces.
  • Sort, weigh, count, and organize diamonds and colored stones.
  • Support stone inventory processes, organization, and product tracking – ensure the timely and accurate input of all new stones through the appropriate systems.
  • Provide occasional executive-level support to the President.
  • Manage schedules, appointments, and travel arrangements.
  • Maintain and update detailed spreadsheets and tracking systems for acquisitions, inventory, and sourcing projects.
  • Coordinate all shipments—incoming and outgoing—of stock pieces, client pieces, and new acquisitions.
  • Produce and update detailed status report of client and stock pieces.
  • Coordinate high-stakes meetings and events in a fast-paced, high-pressure environment.
  • Maintain a high level of professionalism and discretion in all communications and interactions.

Qualifications:

  • Bachelor’s degree required.
  • 1-3 years of prior experience in the jewelry industry required, particularly with diamonds and gemstones.
  • Knowledge in jewelry production with understanding the process, rhetoric, and craft of creating jewelry a plus.
  • Exceptional discretion in handling sensitive material.
  • Strong organizational and administrative skills; ability to remain poised under pressure.
  • A refined and polished demeanor suitable for representing our executive office.
  • Proficiency in Microsoft Office Suite and inventory systems.
