Job Description / General Function The Finance & Administration Director supports the work of the Y, a nonprofit organization committed to strengthening the community through youth development, healthy living, and social responsibility. The Director ensures a system of strong internal controls and fiscal soundness and provides direction and leadership for YMCA finance, business operations, and human resources. Responsibilities Translate organizational goals into executable plans with accountable staff by defining tasks and milestones; manage all functions of accounting and business operations, ensuring legal and audit requirements are met and best practices and efficiency are achieved. Oversee the annual budget process, including guidelines and procedures, staff training, budget auditing, data input, and report preparation. Ensure timely and accurate functions including banking, deposits, accounts payable/receivable, billing, payroll, campaign, collections, budgeting, financial reports, balance sheet reconciliations, cash flow forecasting, asset tracking, depreciation, and insurance-related functions. Hire, train, and supervise Finance and HR/Administration staff; arrange backup staff as needed. Manage the annual independent audit, single audit (as needed), financial statement preparation, IRS 990, and liaise with the audit team and YMCA Finance Committee and Board. Implement internal controls to safeguard financial resources and ensure accurate reporting. Prepare or supervise outside reports and filings, including contracts, audits, and external programs. Oversee month-end and year-end closings and the preparation of statements and reports. May implement and oversee personnel and payroll administration, including records and related systems. Collect and maintain data on government contracts and grants. Review and maintain contracts; execute as necessary. Manage and oversee banking and funds; reconcile bank statements monthly. Administer accounting, operations, payroll, merchant services, and related software using best practices. Coordinate annual Campaign setup/structure with the Campaign Chair/Committee. Responsible for General Ledger and the books/records of the organization and oversee records retention. Create and maintain policies and procedures aligned with best practices. Oversee Human Resources and Administration functions; provide backup, support, direction, and counsel as needed (Hiring, Benefits & Files, Training & Staff Development, Volunteer Management, HR Administration, Staff Separations, Performance Management, Communications). Required Skills And Experience Bachelor's degree in business administration, accounting, or equivalent YMCA Multi-Team Leader Certification preferred Five or more years of related experience in finance/accounting or equivalent Previous supervisory experience preferred Finance/accounting experience for a nonprofit organization preferred Knowledge of computerized accounting systems and standard software (Microsoft Suite, Google Suite, program/operating software, internet applications) Ability to relate well and communicate effectively with a diverse group of individuals Clear and concise writing with appropriate grammar and tone Pass a comprehensive background check High school diploma or equivalent Be 21 years of age or older Current CPR and first-aid certificate or ability to obtain within 30 days of hire Additional Expectations and Duties Attend staff meetings and trainings; complete required online trainings including child abuse prevention within 7 days of hire Uphold YMCA safety, supervision, mandated reporting, and risk management policies; adhere to boundaries with youths Report suspicious or inappropriate behaviors in accordance with mandated reporting requirements Maintain a clean workspace Submit hours worked accurately on the electronic timecard within timelines Demonstrate passion for high standards and the YMCA mission Flexible schedule; evenings and/or weekends may be required Other duties as assigned by the supervisor Working Conditions Environment Office environment with occasional interruptions Moderate noise level Evening and/or early morning and/or weekend hours periodically Occasional travel required Physical Abilities Regular use of a computer; long periods of sitting and keyboard use Effective communication by writing and speaking Ability to work with computer, phone, and other devices Ability to sit, stand, reach, move around the work environment Visual and auditory ability to respond to emergencies Near/far vision and ability to adjust focus Physical tasks may include bending, kneeling, crouching, standing, walking, climbing; carrying up to 25 lbs Driver Requirements Valid driver’s license and proof of insurance YMCA is an Equal Opportunity Employer Seniority level
