Billing Specialist

position. Responsibilities

Coordinate all aspects of the monthly billing cycle for an assigned number of attorneys, issuing accurate invoices monthly, or upon request, and meeting deadlines. Initiate and manage the monthly client billing process, including reviewing and editing monthly proformas and ensuring time and cost entries are accurate. Process write-offs and write-downs, transfer, divide, and combine timecards, and verify rate accuracy; apply available funds as instructed. Verify billing accuracy; compile supporting backup documentation per client guidelines; acquire and maintain proper approvals; finalize and distribute invoices per Firm and client requirements. Research and respond to billing inquiries from attorneys and clients in a timely and professional manner. Submit invoices by mail, email, or through e-billing vendors (e.g., eBillingHub) and set up matters for e-billing within the firm’s systems. Address and resolve billing disputes and discrepancies; coordinate appeals for rejected invoices. Provide internal/external customer service, including client accruals, status updates, budgets, and billing process guidance; maintain confidentiality of matters. Collaborate with other departments for Accounts Receivable, client/matter setup, rate management, trust accounting, unallocated funds, and billed-on-account funds. Maintain billing system data (addresses, invoice templates, e-billing information) and support customized reporting for internal and external clients. Prioritize multiple tasks effectively and manage monthly reports on billing workload; perform other related duties as assigned. Qualifications

Associate’s degree or a combination of education and relevant work experience required; bachelor’s degree preferred. 2+ years of experience with legal billing and client invoicing. Knowledge or prior use of Elite 3E; familiarity with electronic billing processes and e-billing vendors (eBillingHub, Legal Tracker, TyMetrix 360, CounselLink, etc.). Experience with Paperless Proforma preferred. Ability to work with Microsoft Office (Excel and Word) and strong organizational and time-management skills. Excellent attention to detail, problem-solving abilities, and effective written and verbal communication; ability to handle multiple priorities and meet deadlines. Flexibility to work overtime and weekends if needed. Commitment to teamwork, client service, and integrity in handling confidential information. Compensation And Benefits

Employees are entitled to compensation commensurate with skill and experience. The exact compensation will vary based on skills, experience, location, and other factors permitted by law. The expected compensation ranges for this position in various states and jurisdictions are as follows: State of California: $53,000 - $102,000; State of Colorado: $49,000 - $88,000; State of Illinois: $48,000 - $94,000; Jersey City, NJ: $58,000 - $105,000; State of Maryland: $52,000 - $78,000; State of Massachusetts: $52,000 - $102,000; State of Minnesota: $53,000 - $88,000; State of New York: $50,000 - $107,000; State of Washington: $52,000 - $98,000; Washington, D.C.: $69,000 - $101,000. Bonuses are non-guaranteed and depend on individual and firm performance.
