Senior Executive Assistant & Office Coordinator
Location: Washington, DC | On-site 4 days/week
We are seeking a highly experienced Executive Assistant & Office Coordinator to provide administrative and operational support to senior executives in a professional services environment. This role combines executive support, office management, and project coordination to ensure smooth operations across a dynamic, multi-location team.
Key Responsibilities
Manage busy executive calendars, coordinate meetings, and schedule logistics for internal and external participants.
Arrange travel, prepare and submit expense reports, and process approvals for invoices and subscriptions.
Support meeting preparation, including agendas, materials, note-taking, and follow-up actions.
Maintain organized physical and digital files, templates, trackers, and records.
Coordinate onboarding activities for new hires in collaboration with department leads.
Ensure office operations run smoothly, including supplies, mail distribution, vendor coordination, and facility requests.
Partner with administrative teams and colleagues across locations to support executives and office initiatives.
Qualifications
Minimum 7 years of experience providing administrative support to senior executives or teams, with a demonstrated track record of increasing responsibility.
Bachelor’s degree required.
Proven office coordination experience.
Ability to manage multiple priorities in a fast-paced environment with minimal supervision.
Strong verbal and written communication skills and professional presentation.
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Exceptional organizational, time management, research, and proofreading skills.
Professional, friendly demeanor with the ability to build effective relationships at all levels.
