Overview
The Administrative Assistant assists in administrative duties and ensures the smooth operation of the executive suite. The incumbent will have a strong background in administrative support with the ability to handle multiple priorities in a fast-paced environment.
Responsibilities
- Maintain the executive's calendar, including scheduling appointments, meetings, and travel arrangements.
- Handle incoming calls and emails, responding appropriately and routing correspondence to the appropriate executive or department.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Driving between our Great Falls, VA office and our Rockville, MD office on an as needed/daily basis.
- File and retrieve documents and reference materials.
- Conduct research, collect data, and prepare papers for consideration and presentation by executives.
- Manage and maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing orders for new supplies.
- Greet and assist visitors when they arrive at the office.
- Provide general administrative support which may include but is not limited to photocopying, faxing, mailing, and filing.
- Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and participating in professional societies.
Qualifications
- Associate or bachelor’s Degree: additional qualification as an administrative assistant or secretary will be a plus.
- At least 3 years of proven experience as an administrative assistant or secretary.
- Current Driving License required
- Proficient in MS Office (MS Excel and MS PowerPoint, in particular) AND TEAMS
- Excellent time management skills and ability to multitask and prioritize work.
- Strong organizational and planning skills.
- Outstanding communication and interpersonal abilities.

Working Environment:
Office environment may require working evenings and weekends. While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to manipulate objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel crouch or crawl; talk or hear. Work may involve long periods of standing. The employee may occasionally lift and/or move up to 25 pounds. The noise level in the environment is usually moderate.
Position Type/Expected Hours of Work:
This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5:30 p.m.with a one-hour lunch break. This position may require extra work-hours occasionally.
The salary range for this position is between $60k - $70k depending on relevant experience and skills.
