We are a small to medium sized bankruptcy law firm looking for a reliable Administrative Assistant. In this position, you will assist with a wide variety of administrative tasks, working with the office administrator and principals of the firm ensuring the staff has adequate support to work efficiently.

Your responsibilities will include bookkeeping, filing, support and general secretarial details such as document preparation and finalization, answering incoming calls, making outbound calls and scheduling appointments for clients and associates. The ideal candidate will be competent in prioritizing and working with little supervision. You must be self-motivated and trustworthy.

Responsibilities

  • Support Firm functions by preparation and finalization of reports, correspondence and emails.
  • Support by assisting in coordination of office activities to assure efficiency and compliance with company policies.
  • When assigned, manage agendas and appointments for client meetings and conferences.
  • Assist with maintenance of office services by organizing office operations and procedures, preparing correspondence, maintaining filing systems and performing clerical functions.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Update records and databases with personnel, financial and other data
  • Track stocks of office supplies and place orders when necessary

Skills

  • Proven experience as an Administrative Assistant or relevant role
  • Must be skilled in finalizing and formatting letters and emails.
  • Outstanding communication and interpersonal abilities
  • Familiarity with office management procedures
  • Excellent knowledge of MS Office and office management software as well as Outlook considered a plus.
  • Fluency in Spanish as a second language considered a plus.
  • High school diploma required
