Job Description: Administrative & Investor Relations Associate

Overview

We are seeking a detail-oriented and proactive Administrative & Investor Relations Associate to take ownership of key functions that support both the Operations and Investor Relations teams in our Kirkland office. This multi-faceted role reports directly to the Chief of Staff and combines administrative leadership, project ownership, and client paperwork processing.

The position is ideal for someone who thrives in a professional office environment, enjoys balancing multiple priorities, and has a client service mindset. You will assist in managing day-to-day operations, reception, key projects and support the investor relations department with administrative needs.

Responsibilities

Administrative & Operations Support

  • Provide administrative support to the Chief of Staff and company leadership.
  • Manage scheduling, calendars, and logistics for internal and external meetings, including executive, management, and client-facing events.
  • Own the planning and execution of staff events, recognition activities, and office programs (anniversaries, birthdays, holiday gifts, etc.), ensuring they strengthen company culture and engagement.
  • Oversee and manage travel, office lunches, client/referral gifts, and vendor relationships.
  • Lead onboarding logistics for new employees and maintain office systems, supplies, and equipment.
  • Professionally greet visitors and ensure a welcoming front office experience.
  • Take ownership of special projects within Operations, driving timelines, deliverables, and successful outcomes.

Investor Relations Support

  • Provide overflow and dedicated support to the Investor Relations team during peak activity periods.
  • Create, manage, and maintain client files, both physical and digital for easy access and compliance purposes.
  • Assemble and update welcome packets, investor materials, and other standardized client documents.
  • Assist Investor Relations Specialists with administrative follow-up tasks to support overall client experience.
  • Partner with Investor Relations Specialist as needed to compile, review, and submit client investment paperwork through the firm’s online platforms.

Qualifications & Skills

  • 2–4 years of work experience in a professional office environment; experience in real estate, finance, or client services preferred.
  • Strong attention to detail and accuracy in handling client and operational information.
  • Ability to multi-task, prioritize competing demands, and meet deadlines.
  • Collaborative problem-solver with the ability to work both independently and as part of a team.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency with Microsoft Office 365 (Excel, Word, PowerPoint), Adobe Acrobat, and CRM software (Salesforce preferred).
  • Professional demeanor, discretion, and ability to handle sensitive/confidential information.
  • Associate or bachelor’s degree preferred; equivalent experience accepted.
  • Upon accepted offer, candidates are required to pass a FINRA background check.
  • Full-time, in-person position (Office Hours: 8:30am – 5:00pm).
