Overview
The Executive Assistant will work directly with the attorney, acting as a trusted right hand and providing vital support in managing daily activities. This role is an integral part of the practice group, helping manage the flow of information while screening, organizing, and prioritizing requests from both internal and external clients.
Key Responsibilities
- Provide professional, high-level support with a focus on confidentiality, discretion, and exceptional client service.
- Communicate effectively across all levels of the organization with excellent verbal and written skills.
- Anticipate attorneys’ needs and proactively move tasks forward with minimal direction.
- Manage calendars, inboxes, and schedules across attorney, clients, offices, and time zones.
- Foster collaboration with teammates to ensure seamless coverage and support.
- Reconcile and process expenses in firm financial systems.
- Review calendars and emails to classify business and personal expenses.
- Assist attorney with time entries by creating drafts, reviewing, editing, and ensuring deadlines are met.
- Collaborate with billing teams to review and finalize invoices for timely client delivery.
- Support the firm in meeting billing targets and deadlines.
Project & Practice Management
- Draft, edit, and proofread correspondence, presentations, and other legal or business documents.
- Coordinate logistics for internal and external meetings, including conference rooms, visitor offices, and video calls.
- Arrange domestic and international travel and manage preferences and logistics.
- Monitor and organize attorneys’ inboxes and Outlook folders.
- Ensure documents and emails are properly stored in iManage Workspaces or other document management systems.
Training & Development
- Participate in team meetings, knowledge-sharing activities, and mentoring programs as needed.
- Stay current with core applications and best practices to provide the highest level of support.
Qualifications
- Bachelor’s degree or equivalent work experience.
- 3-5 years experience in an Executive Administrative support role
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent organizational skills with the ability to prioritize multiple tasks under deadlines.
- Strong attention to detail and proofreading ability.
- Exceptional interpersonal skills with the ability to work well across teams.
- Proactive approach to problem-solving and decision-making.
- Ability to maintain strict confidentiality and professionalism.
