About the Executive Administrative Assistant Role
We are seeking a highly motivated and experienced Executive Administrative Assistant to join our team. The Executive Administrative Assistant provides high-level administrative support to the executive team, ensuring efficient day-to-day operations and serving as a critical partner in facilitating executive priorities.
Key Responsibilities
- Manage the executive's complex calendar, ensuring all meetings, events, and travel arrangements are coordinated seamlessly.
- Prepare and organize documents, reports, presentations, and meeting materials.
- Manage confidential communications ensuring professionalism and discretion at all times.
- Act as a liaison between the executive and internal/external stakeholders, ensuring timely follow-up and coordination of tasks.
- Anticipate the executive's needs and proactively address potential issues, ensuring priorities are aligned and deadlines are met.
- Schedule and coordinate executive meetings, including board meetings, team off-sites, and other key events.
- Prepare agendas, compile and distribute meeting materials, and manage logistics (catering, AV, room setup).
- Attend meetings to take minutes, track action items, and ensure follow-up on critical deliverables.
- Draft, proofread, and edit emails, memos, and other correspondence on behalf of the executive.
- Screen and prioritize emails, phone calls, and other communications, ensuring the executive's time is optimized.
- Prepare and distribute executive-level communications, ensuring messaging aligns with company objectives.
- Arrange domestic and international itineraries, including flights, hotels, ground transportation, and meeting schedules.
- Prepare detailed travel briefs for the executive, including all necessary logistical information.
- Manage expense reports and reconcile travel-related expenses promptly.
- Assist in the planning and execution of company-wide events and initiatives led by the executive team.
- Conduct research and gather data to support executive decision-making and special projects.
- Lead administrative process improvements, identifying opportunities to streamline workflows and enhance efficiency.
Qualifications
- High school diploma or equivalent required; Bachelor's degree in Business Administration, Communications, or a related field strongly preferred.
- Minimum of 5 years of experience in an executive administrative support role, preferably supporting senior leadership.
- Experience in a fast-paced, high-stakes corporate environment is preferred.
- Exceptional organizational and time management skills with a strong attention to detail.
- Ability to manage competing priorities and adapt to changing needs with minimal supervision.
- Strong written and verbal communication skills, with the ability to convey information clearly and professionally.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with virtual meeting platforms (e.g. Zoom, Teams).
- Proven ability to handle confidential information with the utmost discretion.
- Ability to work collaboratively with cross-functional teams and senior executives.
