Secretary C - Diversity, Equity, and Inclusion
The Diversity, Equity, and Inclusion Secretary will provide direct support to the Director of Diversity, Equity, and Inclusion. The Secretary will assist with projects to improve diverse and equitable instructional and programmatic opportunities that meet students’ academic and social emotional needs and interests of the School District U-46 community.
Function / Position Summary
The role is integral in facilitating the efficient operation of the DEI office, contributing to the promotion and implementation of diversity, equity, and inclusion initiatives, and ensuring effective communication and coordination within the school district.
Job Duties / Responsibilities
- Manage the Director of Diversity, Equity, and Inclusion’s calendar, schedule meetings, and coordinate appointments.
- Prepare and organize diversity, equity, and inclusion-related documents, reports, and presentations.
- Manage correspondence, emails, and phone calls for the diversity, equity, and inclusion office.
- Maintain and update files, records, and databases related to diversity, equity, and inclusion activities and initiatives.
- Organizing the logistics for meetings, such as reserving meeting space, sending calendar invitations, gathering and providing necessary materials, and disseminating agendas.
- Prepare and process board meeting materials in accordance with BOE meeting practices and timelines.
- Gather and compile data related to diversity, equity, and inclusion efforts.
Communication
- Serve as the first point of contact for the diversity, equity, and inclusion office, addressing inquiries and providing information as needed.
- Coordinate communication between the diversity, equity, and inclusion office and various stakeholders, including staff, students, parents, and community members.
Budget
- Monitor and track office expenses, process invoices, and manage budget records.
- Compile, record, and track department budget and Title 1 grant expenditure accounts.
- Maintain inventory of supplies and materials for the purpose of ensuring timely availability.
- Process requisitions.
- Prepare vendor invoices for payment and maintain an accounting record on all purchase orders.
- Process timesheets.
- Process Director of Diversity, Equity, and Inclusion’s district credit card for final approval and payment.
- Participate in related training when offered by the district.
- All other duties as assigned
Education
- High School diploma or equivalent required.
- Associates degree preferred.
Experience / Knowledge
- Five years of secretarial experience in a school setting is preferred.
- Working knowledge of Google applications.
- Ability to handle multiple concurrent projects, setting priorities to meet assigned timelines.
- Familiar with My Data Zone, Infinite Campus, Skyward, Canva, and School Dude preferred.
Physical Demands
- Ability to work on a computer/telephone over the major portion of the day.
- Ability to lift up to 25 pounds.
Terms of Employment
- This is a 12-month position; 8 hours per day.
- Salary and benefits as established by the Board of Education. Starting rate $18.65.
- Benefits and pension eligible.
