The AI Project Coordinator will work under the Director of AI Execution to manage administrative aspects of AI projects and lead smaller AI initiatives. The role ensures smooth project execution, effective coordination, and successful delivery of AI solutions. The ideal candidate is organized, proactive, and passionate about AI-driven innovation. Key Responsibilities
Project Administration and Coordination : Manage project schedules, timelines, and deliverables for AI initiatives; coordinate meetings, prepare agendas, document minutes, and track action items to ensure milestones are met; maintain project documentation including plans, status reports, and risk logs. Manage Smaller AI Initiatives : Lead the execution of smaller-scale AI projects, including scoping, resource allocation, and stakeholder communication; collaborate with cross-functional teams to implement AI solutions, ensuring alignment with objectives. Resource and Vendor Management : Coordinate resources, tools, and external vendors; track budgets and expenditures for assigned projects, ensuring cost-effective delivery. Stakeholder Communication : Liaise between the AI execution team, other departments, and external partners; provide regular updates on project progress and challenges. Process Improvement : Identify opportunities to streamline administrative processes and improve project management workflows; support adoption of tools and methodologies to enhance efficiency. Qualifications
Minimum Requirements
Bachelor’s degree in Business Administration, Project Management, Computer Science, or a related field, plus at least 4 years of experience in project coordination, program management, or administrative support; technology or AI-related experience preferred, or demonstrated equivalency. Experience managing small-scale projects or initiatives, ideally in a technical or innovation-driven environment. Strong organizational and time-management skills; ability to prioritize tasks in a fast-paced environment. Proficiency with project management tools (e.g., Jira, Trello, Asana, Microsoft Project) and Microsoft Office Suite. Analytical mindset with attention to detail and problem-solving abilities. Ability to work independently and collaboratively within a team; comfortable navigating ambiguity. Preferred Qualifications
PMI PMP, Agile, or CAPM certification is a plus. Familiarity with AI concepts and technologies is highly desirable. Excellent written and verbal communication skills; ability to engage diverse stakeholders. Proactive, adaptable, and eager to learn about AI and its applications. Passion for contributing to AI-driven transformation. Additional Information
